Job Overview



We are seeking a detail-oriented and organized

Secretary / Administrative Assistant

to support our management and project teams. The ideal candidate will handle administrative duties, documentation control, and assist with daily coordination across departments to ensure smooth office operations within a fast-paced MEP contracting environment.

Key Responsibilities



Manage and organize company correspondence, emails, and telephone calls. Prepare and format official letters, quotations, reports, and project documents. Maintain document filing systems (soft and hard copies) in line with company standards. Coordinate with project, procurement, and engineering teams for document submissions. Track and update project-related correspondence, approvals, and transmittals. Handle office supplies, stationery, and general administrative support. Schedule meetings, take minutes, and follow up on pending actions. Assist in visa, labor card, and other company administrative procedures when needed. Support HR and accounts departments with basic documentation (attendance, leave, etc.). Liaise with clients, consultants, and subcontractors professionally when required. Ensure confidentiality and accuracy of company documents and information. Assist finance/procurement department in basic accounting and procurement operations.

Qualifications and Skills



Minimum 2-5 years of experience in a secretarial or administrative role (preferably in an

MEP or contracting company

). Strong command of

Microsoft Office (Word, Excel, Outlook, PowerPoint, Teams)

. Excellent written and verbal communication skills in English (Arabic is a plus). Knowledge of

document control practices

and familiarity with submission formats (RFIs, MIRs, shop drawings, etc.) is a plus. Well-organized, punctual, and capable of multitasking in a dynamic office environment. Professional appearance and demeanor.

8:00 AM - 5:00 PM (Monday to Saturday)
