Key ResponsibilitiesExecutive Support
Manage the CEO's calendar, appointments, and daily schedule.
Draft, review, and manage correspondence, emails, reports, and presentations.
Take meeting minutes and ensure follow-up on action items.
Assist in preparing board-level documents, investor presentations, and executive reports.
Administrative Coordination
Handle general office administration, including supplies, petty cash, and filing systems.
Maintain confidential records, HR documentation, and regulatory files securely.
Support employee onboarding (access setup, document collection, welcome kits).
Manage courier dispatch, document logistics, and business correspondence professionally.
Operations & Office Management
Coordinate logistics for internal meetings, visitors, and corporate events.
Manage travel arrangements, visa processing, hotel reservations, and itineraries.
Oversee office maintenance and ensure a well-organized, professional workspace.
Serve as a liaison between departments and external stakeholders.
Digital & Communication Tools
Proficient in
Google Workspace
(Docs, Sheets, Calendar, Gmail) and
Microsoft Office Suite
.
Comfortable using task/project management tools, CRMs, and HRMS systems.
Quick to adapt and learn new platforms (e.g., Prakroa, eSanad CRM, or other internal tools).
Qualifications & Requirements
Bachelor's degree in
Business Administration, Communications, or a related field
.
Minimum
3 years of experience
supporting senior executives or C-level management.
Strong command of
English
(Arabic is an advantage).
Professional appearance, excellent interpersonal skills, and emotional intelligence.
Prior experience in the
UAE
is preferred -- particularly in regulated industries (insurance, finance, or banking).
