Greet and welcome visitors in a professional and friendly manner.
Answer, screen, and forward incoming phone calls.
Maintain the reception area, ensuring it is tidy and presentable at all times.
Handle incoming and outgoing correspondence, including emails, couriers, and mail.
Administrative Support:
Assist in preparing documents, reports, and presentations as required.
Maintain and update company databases, records, and filing systems.
Schedule and coordinate meetings, appointments, and conference room bookings.
Support HR and administrative functions such as attendance tracking, leave records, and document filing.
Handle procurement of office supplies and ensure stock levels are maintained.
Coordination and Communication:
Liaise with internal departments and external contacts for administrative matters.
Coordinate with vendors, maintenance staff, and service providers for office-related requirements.
Assist management with day-to-day administrative tasks and special projects.
Visitor and Employee Assistance:
Provide information and assistance to visitors, clients, and employees as needed.
Handle basic inquiries and direct them to the appropriate department or personnel.
Support new employee onboarding by preparing access cards, workspace, and basic orientation.
General Office Management:
Ensure proper maintenance of office equipment like printers, photocopiers, and telephones.
Manage petty cash and expense reimbursement processes when required.
Adhere to company policies, confidentiality, and safety standards.
