Procurement Officer - Vignette Collection (IHG) | Dubai, UAE
Overview of the Role
Vignette Collection, part of IHG Hotels & Resorts, is hiring a Procurement Officer to run day-to-day purchasing for our luxury Dubai property. You'll own PR/PO processing in FutureLog, supplier follow-ups, inventory coordination, GRN accuracy, and policy-compliant documentation-keeping operations smooth, compliant, and cost-efficient.

Key Responsibilities

• Process daily PRs and create POs in FutureLog; send to approved vendors.
• Follow up on quotes, stock availability, pricing, and delivery timelines.
• Coordinate with Receiving to ensure timely, accurate GRN postings and 3-way match.
• Monitor inventory levels; trigger reorders and manage item substitutions when needed.
• Maintain accurate supplier master data, item catalogues, and pricing.
• Upload and archive invoices, delivery notes, contracts, and compliance docs.
• Track pending/delayed deliveries; communicate updates to department heads.
• Generate daily/weekly purchasing reports and KPI summaries from FutureLog.
• Support Finance during month-end (PO/GRN/Invoice reconciliation).
• Train end users on FutureLog features and SOPs; escalate system issues.
• Conduct periodic audits on item master data, pricing accuracy, and policy adherence.

Qualifications & Experience

• 2-3 years' procurement experience in a luxury hotel environment.
• Proficiency with hotel purchasing platforms (FutureLog preferred).
• Strong English communication; additional language a plus.
• Detail-oriented, organized, and effective under pressure in fast-paced ops.
• Collaborative mindset with stakeholders across Receiving, Stores, Finance, and Operations.
