Position Overview
The Operations Administrator role within Majid Al Futtaim Properties supports Asset Management operations by assisting with tenant communication, lease administration, financial coordination, and daily operational activities. This position plays a key role in ensuring smooth mall operations, accurate documentation, and effective coordination between tenants, finance, and operations teams in a dynamic, multi-tenant environment.

Key Responsibilities

  • Manage end-to-end leasing administration for storage units, including issuing offers, preparing lease agreements, ensuring payment collection, and updating records in Yardi until closure
  • Send renewal offers to tenants three months prior to lease expiry and ensure audit findings are closed within agreed timelines
  • Support preparation of storage and operational budgets, maintain budget proposal files, and track OPEX and CAPEX utilization
  • Raise and process purchase orders, reconcile monthly P and L statements with Finance, and follow up on invoices, refunds, and payments
  • Coordinate tenant requests via the Tenant Portal, manage tenant circulars, support visual merchandising requirements, and assist with minor works coordination
  • Oversee hoarding and graphics approvals, coordinate redevelopment works with tenants, and issue related LPOs, access permissions, and shutdown notifications
  • Maintain operational documentation including CAR insurance trackers, quarterly mall fact sheets, and monthly inputs for Asset Management reports
  • Support operations teams with tenant inductions, daily tenant communication, and administrative tasks to ensure uninterrupted mall operations
Ideal Profile
  • Bachelor's degree in Operations Management or a related discipline
  • 0-3 years of experience in mall operations, facilities, or real estate management, preferably within large shopping malls or reputable developers
  • Working knowledge of MS Office and MS Project; AutoCAD knowledge is an advantage
  • Basic understanding of operational budgeting, CAPEX and OPEX planning, and financial coordination
  • Strong organizational, analytical, and multitasking skills with high attention to detail
  • Professional, calm under pressure, and able to communicate diplomatically with tenants, contractors, and internal stakeholders
