Job Description

The purpose of this position is to provide administrative and clerical support to the Head of Passenger Services Department and Operation Control Centre of Dubai MetroMAIN RESPONSIBILITIES
  • The Operations Coordinator for OCC will be responsible for providing administrative support to OCC Operations Manager including diary management, official letters, emails, reports, trackers, minutes of meetings and maintenance of action registers.
  • Responsible in scheduling meetings and coordination with the other Operations Section Administrators to ensure an efficient level of general office support activities including filing system, diary keeping, stationery and meeting rooms management.
  • Assist the OCC Operations Manager in chasing up returns and inputs to reports.
  • Responsible for maintaining and organizing Operations Daily Review Meeting, update and finalize the reports and submit to RTA. Ensure Action Log is always updated.
  • Organize the Monthly OCC Meet the Manager taking down the minutes and update the Action Logs.
  • Main point of contact for the orderliness of the Operations Control Centre files (procedures, work instructions, forms, notices, letters) in the shared drive as well as archiving the files in the shared drive.
  • Responsible for preparing Document Change request for update on Operations Work Instructions, Procedures, Forms and Manual, keep track of documents in review, prepare the Briefing Note and submit the final copy to Document Controller .
  • Responsible for issuing Weekly Traffic Notice and Operations Bulletin to all the relevant staff and ensuring that all details are up to date and applied.
  • Responsible for updating monthly Headcount of Operations Control Centre.
  • Assist Passenger Services Department and Operations Control Centre in complying with documentary requirements, process requests by acquiring proper signatures and submit to relevant parties.
  • Perform and carry out other duties as instructed/directed by the Head of Passenger Services and OCC Operations Manager.
KNOWLEDGE REQUIRMENT
  • Perform advanced clerical or administrative works requiring excellent communication and coordinating skills; may also coordinate the work of a small admin team consisting of 2 or 3 staff
  • Manages non-routine aspects of own job with limited supervision
  • Routine decisions based on standard rules and procedures
  • Participates cooperatively and makes constructive contribution to team efforts.
  • Supports junior team members
KEY SKILLS
  • Excellent organizational and communication skills with the ability to convey complex information in an easily understood format
  • A good knowledge of Microsoft Office, Excel, Outlook, PowerPoint and Word
  • Preferred understanding of Power BI or analytical

  • Experience within Dubai Metro
Experience within an administrative role desirable but not essentialEDUCATIONNAL QUALIFCATIONS
  • Ideally a degree holder of a high diploma of post-secondary education in a related discipline.
