Responsible for coordinating and managing workforce planning and staffing activities to ensure the organization has the right talent in place to meet its operational needs. Also, collaborating with hiring managers and HR team, and maintain accurate workforce data.
Key Accountabilities:
Workforce Planning & Deployment:
Collaborate with department heads and HR teams to forecast and fulfill staffing needs.
Coordinate with the Talent Acquisition team to understand workforce gaps and manage the same through suppliers.
Ensure the required manpower is available on-site by coordinating with vendors and third-party suppliers.
Responsible for internal workforce mobility, including site-to-site and inter-department transfers.
Maintain and update workforce rosters, including shift patterns and rotations, to ensure adequate coverage.
Monitor and document workforce utilization, identifying gaps or surplus staff.
Vendor & Third-Party Supplier Management:
Liaise with third-party suppliers to communicate manpower requirements and arrange workforce supply.
Ensure compliance with agreed manpower numbers and contractual obligations.
Administer and track LPO expiry dates, ensuring timely renewal or offboarding vendors based on site requirements.
Process invoices and manage budgets related to third-party staffing services.
Attendance & Payroll Coordination:
Collect and consolidate attendance records from sites and camps.
Verify and manage attendance reports, ensuring accuracy and timely submission to the payroll team.
Monitor absenteeism trends and report discrepancies to HR and operations.
Onboarding, Offboarding & Employee Transfers:
Facilitate the onboarding process for new hires, including ID issuance and documentation.
Ensure smooth transitions for employees moving between roles, departments, or project sites.
Process and track Employee Requisition Forms (ERC) for manpower movements.
Manage the offboarding process for external workforce, ensuring proper documentation and exit formalities.
Compliance & Documentation:
Ensure adherence to labor laws, company policies, and industry regulations regarding workforce management.
Maintain proper documentation of contracts, agreements, LPOs, and employee records.
Assist with audits and inspections related to workforce compliance.
Stakeholder Coordination:
Act as a point of contact for employees and managers regarding workforce-related inquiries.
Address concerns related to staffing, transfers, and reassignments.
Coordinate with Camp Bosses to ensure smooth deployment and accommodation of workers.
Responsible to issue new LPO's and also arrange for extension when required.
Issue new ID cards for new joiners.
Monitor the transfer of employees among projects and departments.
Coordinate with all Camp Bosses on deployment requirements
Qualifications, Experience, Knowledge & Skills:
Bachelor's degree in Human Resources, Business Administration, or a related field.
Minimum of 3 - 4 years of experience in workforce planning, staffing coordination, or a similar role.
Proficiency in HRIS platforms (e.g. Epromise, Workday, SAP, Oracle) and Microsoft Office Suite.
Strong understanding of workforce planning principles and labour laws.
Ability to analyse data and generate actionable insights.
HR certification (e.g., SHRM-CP, PHR) is a plus.
