Front Office Department
The Front Office is the nerve center of a hotel and the primary point of contact for guests. It creates the first and last impression, handling all guest interactions from check-in to check-out.
Key Positions: Front Office Manager, Front Desk Agent, Guest Service Agent, Concierge, Bell Attendant, Night Auditor.
Overall Department Goal: To provide exceptional, efficient, and personalized service to all guests, ensuring a smooth and memorable stay.
Detailed Responsibilities:

  • Guest Services: Welcome guests upon arrival, perform check-in and check-out procedures, handle guest inquiries and requests, provide information about hotel services and local attractions.
  • Reservation Management: Process walk-in reservations, manage room assignments, and coordinate with the central reservations department.
  • Communication Hub: Operate the hotel's PBX system, handle all incoming calls, take messages, and act as a liaison between guests and other hotel departments.
  • Financial Transactions: Handle cash and credit card transactions, manage guest folios, process payments, and perform currency exchange. The Night Auditor is responsible for closing daily financial transactions and generating reports.
  • Concierge Services: Assist guests with restaurant bookings, transportation, tickets for events, and other personalized services.
  • Luggage Assistance: Escort guests to their rooms and assist with their luggage.
  • Problem Resolution: Address and resolve guest complaints or issues promptly and effectively.
  • Administrative Duties: Maintain guest records, generate daily reports, and ensure the front desk area is clean and organized.
