Job Title: FM Executive - Soft Services
Department: Facilities Management (FM)
Reports To: FM Manager / Head of Facilities
Job Summary:
The FM Executive for Soft Services is a strategic role responsible for overseeing and managing the non-technical, people-centric services within the facility. This includes cleaning, waste management, pest control, landscaping, catering, vending, and front-of-house services. The executive will ensure these services are delivered to the highest standards of quality, safety, and cost-effectiveness, enhancing the overall workplace experience for occupants and visitors.
Key Responsibilities:

  • Service Delivery & Management: Manage the daily delivery of all soft services, ensuring compliance with Service Level Agreements (SLAs) and Key Performance Indicators (KPIs).
  • Vendor & Contractor Management: Lead the procurement process for soft services, manage contracts, and oversee the performance of third-party vendors and service providers.
  • Team Leadership & Development: Supervise, train, and motivate the soft services team, including cleaners, stewards, and attendants. Conduct performance appraisals and foster a culture of continuous improvement.
  • Quality Assurance & Compliance: Develop and implement rigorous cleaning and service schedules. Conduct regular audits and inspections to ensure adherence to health, safety, and environmental regulations (e.g., ISO 9001, ISO 14001).
  • Budgetary Control: Assist in the preparation and management of the soft services operational budget. Monitor expenditures, control costs, and ensure financial efficiency.
  • Stakeholder Engagement: Act as the primary point of contact for all soft services-related queries from building occupants, clients, and management. Address and resolve issues and complaints promptly and professionally.
  • Sustainability Initiatives: Drive and implement sustainable practices within soft services, such as waste recycling programs, green cleaning products, and water conservation in landscaping.
Qualifications and Experience:
  • Bachelor's degree in Facilities Management, Business Administration, or a related field.
  • Proven experience (5+ years) in facilities management, with a specific focus on soft services.
  • Strong knowledge of health, safety, and environmental legislation.
  • Excellent leadership, communication, and interpersonal skills.
  • Proficient in using CAFM (Computer-Aided Facility Management) software and MS Office.
  • Experience in budget management and vendor negotiations.
