Job Description

The FM Administrator is responsible for managing the day-to-day operations, maintenance, and administrative functions of the company's property portfolio. This role ensures that all facilities are safe, well-maintained, and compliant with both company policies and regulatory standards. Acting as a key liaison between tenants, service providers, and the technical team, the FM Administrator plays a vital role in maintaining smooth and efficient facility operations.

Key Responsibilities



Oversee and coordinate daily maintenance activities for HVAC, electrical, plumbing, and mechanical systems. Plan, schedule, and track preventive and corrective maintenance with internal teams and external contractors. Maintain accurate records of assets, maintenance activities, and service reports. Manage tenant move-ins and move-outs, including inspections and preparation of condition reports. Conduct regular site inspections to ensure facilities are in top condition and address maintenance issues promptly. Process, verify, and submit invoices with all required documentation. Coordinate with vendors and service providers to ensure timely and quality service delivery. Monitor subcontractor performance and confirm satisfactory completion of assigned tasks. Ensure compliance with all health, safety, and environmental standards. Assist in preparing maintenance and operational reports, purchase requests, and budget tracking. Support the Facilities Manager with documentation, permit applications, and compliance requirements.

Qualifications and Experience



Bachelor's degree or diploma in Engineering, Facilities Management, Information Technology, or a related field. 3-5 years of experience in facilities coordination, property management, or maintenance administration. Strong knowledge of building systems, including HVAC, electrical, plumbing, and mechanical components. Excellent organizational, communication, and reporting skills. Proactive, detail-oriented, and able to handle multiple tasks efficiently. Willing to conduct site visits and coordinate with external vendors as needed.
