FM Administrator
Job Summary:
The FM Administrator is the operational backbone of the facility management department. This role provides critical administrative support, manages documentation, coordinates schedules, and ensures the smooth day-to-day functioning of the FM office.
Key Responsibilities:

  • Provide comprehensive administrative support to the FM management team.
  • Maintain and organize all FM-related documentation, including contracts, work orders, certificates, and reports.
  • Coordinate and schedule meetings, site inspections, and maintenance activities.
  • Process purchase orders, invoices, and assist with budget tracking.
  • Manage the helpdesk system, logging requests, assigning tasks, and tracking completion.
  • Prepare regular reports on FM activities, KPIs, and performance metrics.
  • Act as a central communication point between the FM team, vendors, and internal clients.
  • Maintain inventory of office and FM supplies.
Qualifications & Experience:
  • High school diploma or equivalent; a diploma in Business Administration is preferred.
  • Proven experience of 3+ years in an administrative role, preferably within Facility Management, Construction, or a related field.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and FM software (e.g., CAFM).
  • Excellent organizational and time-management skills.
  • Strong written and verbal communication skills.
  • High attention to detail and the ability to handle multiple tasks simultaneously.
