Job Summary:
The FM Administrator will provide essential administrative support to the facilities management team, ensuring smooth operations, accurate documentation, and effective coordination with internal and external stakeholders.
Key Responsibilities:
Administrative Support:
Manage scheduling, correspondence, and documentation for FM operations.
Maintain accurate records of maintenance schedules, service requests, and compliance reports.
Prepare reports, presentations, and internal communications.
Coordination & Communication:
Liaise with suppliers, contractors, and service providers.
Act as the first point of contact for building residents or clients regarding FM concerns.
Coordinate with site teams to ensure timely completion of work orders.
System & Documentation:
Operate FM software systems (e.g., RAMCO, CAFM).
Archive and manage physical and digital documents.
Track approvals, quotations, and procurement documentation.
Compliance & Reporting:
Ensure adherence to company policies and industry regulations.
Support WH&S compliance and documentation.
Qualifications & Skills:
Diploma or Bachelor's in Business Administration or related field.
Minimum 2-3 years of experience in FM or administrative roles.
Strong communication and organizational skills.
Proficiency in Microsoft Office and FM software systems.
Ability to multitask and work in a fast-paced environment.
