Job Title: Administrative Secretary
Position Overview:
We are currently seeking a highly organized, proactive, and detail-oriented
Administrative Secretary
to support the daily operations of our organization. The successful candidate will be responsible for delivering comprehensive administrative support, ensuring efficient workflow, and maintaining professional communication with internal teams, clients, suppliers, and external agencies. This role demands exceptional multitasking ability, accuracy, discretion, and a firm understanding of business administration practices.
Key Responsibilities:
Handle and route incoming calls and emails professionally and promptly.
Maintain structured filing systems for both electronic and physical documents.
Coordinate and schedule internal and external meetings, appointments, and site visits.
Draft, edit, and distribute formal correspondence, memos, and internal reports.
Assist in the preparation of presentations, material submittals, and related documentation.
Support accounting tasks including but not limited to: preparing Quotations, Local Purchase Orders (LPOs), Invoices, Inquiries, Payroll, and Petty Cash reports.
Monitor inventory levels and manage procurement of office supplies and operational materials.
Communicate and follow up with suppliers and subcontractors regarding quotations, deliveries, and documentation.
Conduct sourcing of new products, materials, and vendors for ongoing and future projects.
Manage company's online presence including social media platforms (Instagram & Facebook) and oversee basic Google Ads activities.
Collaborate with design staff to prepare Bill of Quantities (BOQs) and project support documents.
Register and update company profiles on relevant government and private portals.
Conduct cold calling, email marketing, and follow-up activities to generate business leads and support the sales pipeline.
Provide comprehensive administrative support to all departments as required.
Candidate Requirements:
Minimum of 2 years of proven experience as an Administrative Secretary, Administrative Assistant, or in a similar capacity.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) is mandatory.
Strong organizational and time-management skills with the ability to handle multiple responsibilities under pressure.
Excellent verbal and written communication skills in English.
High level of attention to detail, accuracy, and professionalism.
Ability to manage workload independently while meeting deadlines.
Strong interpersonal skills and a client-focused attitude.
Basic understanding of accounting and financial documentation is an advantage.
Previous experience in the
interior design

, or
fit-out industry
is preferred.
