The Vehicle Preparation Coordinator plays a crucial role in enhancing the customer experience by ensuring that the vehicle preparation team adheres to high-quality standards. Reporting to the Supervisor of Vehicle Preparation, the coordinator is responsible for overseeing a team of Car Washers, ensuring operations run smoothly from vehicle quality checks to inventory management. The role involves detailed documentation and reporting, effective stock management, handling yard maintenance, and managing lost and found items efficiently. It requires leaders who can manage and inspire their teams while maintaining operational excellence.
What You Will Do: Quality Checks and Standards
Conduct random inspections of 5 vehicles per shift to ensure compliance with Hertz cleaning standards.
Report any discrepancies found during inspections to the Team Leader.
Ensure all Vehicle Preparation Associates (VPAs) are trained on Vehicle Acceptance Criteria, Vehicle Preparation Standard Work and Damage Identification.
Operational Coordination
Update the Huddle board before each shift according to the specified template.
Conduct pre-shift huddles with all VPAs to communicate daily objectives.
Manage the Order of Production Bar by updating vehicle cards based on business requirements.
Reconcile the manifest with the excel file maintained by the Shift Supervisor.
Ensure VPAs prepare correct vehicles according to the Substitution Matrix.
Reporting and Inventory Management
Update and share the VPA productivity report daily, and share comprehensive reports weekly with the Team Leader.
Maintain inventory of vehicle cleaning materials and ensure stock levels are sufficient.
Coordinate with suppliers to procure materials at competitive rates.
Fuel and Yard Management
Record daily fuel consumption and perform comparative analyses, sharing findings with the Team Leader.
Procure fuel following the Standard Operating Procedure (SOP).
Manage yard cleaning in collaboration with the Facilities department and waste management company.
Administrative Duties
Ensure accurate logging and handling of Lost and Found items as per Standard Work protocols.
Maintain inventory checks to manage ageing vehicles and child seats, avoiding unnecessary ageing.
Manage DSM inventory daily and ensure all vehicle transfers are recorded correctly, closing open NRTs daily.
