The Vehicle Preparation Coordinator is tasked with enhancing the overall customer experience by ensuring vehicles prepared by the team meet Hertz standards. This role involves managing car washers, conducting quality checks, overseeing inventory, and reporting productivity, all aimed at efficient vehicle preparation. Success in this role is guided by adherence to established vehicle preparation standards, damage identification processes, and management of lost and found items. Effective communication, leadership, and organizational skills are crucial for driving team performance and maintaining operational excellence.
What You Will Do: Quality Checks
Ensure random checks of 5 vehicles per shift to maintain Hertz vehicle cleaning standards.
Report any discrepancies noticed promptly to the Team Leader.
Train all VPAs on Vehicle Acceptance Criteria, Vehicle Preparation Standard Work, and Damage Identification.
Huddle Board Update
Update the Huddle board before the start of the shift as per template provided.
Conduct a huddle with all VPAs before the start of each shift.
Order of Production Bar Update
Update the Order of Production Bar with required vehicle cards as per business requirements.
Reconcile the manifest with the excel file maintained by the Shift Supervisor.
Ensure VPAs select and prepare correct vehicles according to the Substitution Matrix.
VPA Productivity Report
Ensure VPA productivity report is updated daily.
Share daily Car Wash report with Team Leader.
Share productivity report with the Team Leader on a weekly basis.
Vehicle Cleaning Material Procurement and Inventory
Maintain proper inventory of all materials required for vehicle cleaning and ensure proper stock.
Coordinate with vendors to obtain materials at competitive rates.
Fuel Management
Ensure daily entry of Fuel Consumption.
Perform daily Fuel Consumption Comparison and share report with Team Leader.
Order fuel as per SOP.
Yard Cleaning Management and Wastewater Management
Manage yard cleaning as per agreement with the Facilities department.
Contact waste company for garbage removal from yard.
Check Tank level and coordinate with vendor regarding wastewater management.
Receive service reports, handle, and report Trade Waste Discharge Permit Letters.
Lost and Found Items Management
Promptly record all Lost and Found items in the Lost and Found items Log.
Manage all items according to Lost and Found standard work procedures.
Admin and Inventory
Inventory dirty branches to avoid aging vehicles and child seats.
Perform DSM inventory daily.
Ensure correct transfers and daily closure of open NRTs.
