Job Summary
We are seeking a highly organized and detail-oriented Project Management Specialist to support the planning, coordination, and delivery of cross-functional projects across the organization. The ideal candidate will bring strong experience in multi-project coordination, executive operations, and large-scale event and logistics management. The role requires exceptional stakeholder management capabilities, the ability to work across diverse international teams, and strong communication skills in English, Arabic, and German.
The successful candidate will drive effective project execution, oversee timelines and deliverables, and support senior leadership in achieving operational and strategic objectives.
Key Responsibilities
Project Planning & Coordination

• Support the definition of project scope, objectives, timelines, and deliverables in collaboration with internal and external stakeholders.
• Develop and maintain detailed project schedules, resource plans, and coordination frameworks.
• Manage multiple concurrent projects, ensuring alignment with organizational priorities and timelines.

Cross-Functional & International Collaboration

• Coordinate internal teams across operations, sales, creative, technical, and executive functions, including remote and multi-time zone teams.
• Facilitate smooth communication channels between departments, subsidiaries, and external partners.
• Ensure clear documentation, reporting, and project updates for stakeholders and leadership.

Stakeholder & Executive Support

• Manage stakeholder expectations, maintain communication, and ensure clarity on roles, responsibilities, and action items.
• Prepare executive-level reports, presentations, and official correspondence.
• Support C-suite leadership with project-related logistics, scheduling, and high-level event planning.

Risk, Compliance & Administrative Oversight

• Track project progress, identify risks, and propose mitigation strategies.
• Handle contract coordination, vendor communication, billing processes, and documentation for assigned projects.
• Ensure compliance with internal processes, quality standards, and organizational policies.

Event & Logistics Management

• Plan and execute complex project events, offsites, workshops, and operational activities.
• Manage logistics, vendor coordination, and all operational preparations related to project milestones.

Required Qualifications and Experience

• Bachelor's degree in a relevant field (Psychology, Business, Operations, or similar).
• 3-5 years of experience in project coordination, executive operations, or large-scale event/project management.
• Demonstrated experience coordinating cross-functional teams across multiple locations and time zones.
• Strong understanding of project management processes, tools, and methodologies.
• Proficiency in MS Office Suite and project management tools.
• Experience with SAP or other ERP systems.

Preferred Qualifications

• Certification in project management (PMP or equivalent) is an advantage.
• Experience supporting C-suite executives and managing high-level corporate events.
• Exposure to technology, operations, or development-related projects.
• Knowledge of Jira and Confluence.
