The opportunity

Project: This is an opportunity to work on a large mixed-use waterfront development in the UAE. The master-planned development will hold, residential, hotels, retail, and commercial units.

We are hiring an ambitious and forward-thinking candidate to join our established and growing team in UAE.

Experience working in the United Arab Emirates is essential for client approval.

Your responsibilities will include:

Improving the use of Microsoft Office advanced tools in project templates and reports.

Preparing, formatting, and consolidating workflows, procedures, templates, and presentations using appropriate software as requested.

Ensuring all documents are in line with Mace Way.

Collecting data as requested.

Ensuring Mace Way templates can be found on SharePoint at this location.

Sending timesheet template to project team by 26th of every month and require the timesheet to be provided back by 30th of every month and collecting all timesheet and save on SharePoint at this location.

Extracting timecards from Oracle to cross-check the timesheets submitted by the project team and leave chart design.

Providing administrative support to the department for the delivery of large luxury mixed-use development.

Planning and coordinating administrative procedures and systems and finding ways to streamline processes within the commercial department to drive continuous improvement.

Managing diaries on behalf of senior-level individuals within the commercial department.

Managing schedules and deadlines.

Arranging meetings and taking minutes.

Ensuring operations adhere to policies and regulations.

Keeping abreast of all organizational changes and business developments.

Performing quality management on documents issued by the commercial department.

Preparing and collating regular reports.

Reconciling weekly time records for invoicing purposes.

Assisting with the preparation of invoices and follow up with the client for the payment of submitted invoices.

Preparing and modifying documents including correspondence, reports, and emails.

Working with document control to ensure that electronic document control is maintained and that actions are closed in a timely manner.

About you

You have BSc/BA in business administration, accountancy, or a related field, experience in Administration Management in engineering or construction projects, you are proficient in the use of MS Office applications, and you have attention to detail.

You are digitally savvy, can build lasting client relationships, and lead strong, motivated teams. You will have a construction or project management background and be hungry to grow your career and enjoy the opportunities Mace have to offer.
