1. Job Purpose
The Sales Coordinator is the operational backbone of the sales team, ensuring that the sales process runs smoothly and efficiently from lead to order fulfillment. This role is responsible for providing comprehensive administrative, organizational, and logistical support to the sales representatives and management. The ideal candidate is a proactive, detail-oriented professional who thrives in a fast-paced environment and is committed to enabling the sales team to focus on revenue-generating activities.
2. Key Responsibilities
Sales Administration & Support:

  • Act as the primary point of contact for internal and external sales inquiries, directing them to the appropriate sales representative.
  • Prepare, process, and manage sales documentation, including quotes, proposals, contracts, and purchase orders with a high degree of accuracy.
  • Maintain and update the Customer Relationship Management (CRM) system, ensuring all client interactions, deal stages, and notes are accurately recorded.
  • Coordinate the distribution of sales leads and assign them to the correct sales territories or representatives.
  • Assist in the preparation of sales presentations, reports, and meeting agendas.
Logistics & Order Fulfillment:
  • Liaise with the logistics, warehouse, and finance departments to track order status, manage delivery schedules, and ensure timely fulfillment.
  • Coordinate with the marketing department to ensure the sales team has the latest collateral, promotional materials, and product information.
  • Assist in the resolution of customer issues related to orders, billing, or delivery by acting as a bridge between the customer, sales rep, and internal departments.
Communication & Coordination:
  • Schedule and organize sales meetings, conference calls, and client appointments, including preparing materials and taking minutes when required.
  • Manage communication flow within the sales team and with other departments to ensure alignment on goals and projects.
  • Handle confidential information with discretion and professionalism.
3. Qualifications & Experience
  • Education: Associate's or Bachelor's degree in Business Administration, Marketing, Communications, or a related field.
  • Experience: Minimum of 2-3 years of experience in an administrative or coordination role, preferably within a sales environment.
4. Skills & Competencies
  • Exceptional Organizational Skills: Ability to manage multiple tasks and priorities simultaneously with a strong attention to detail.
  • Communication Proficiency: Excellent written and verbal communication skills.
  • Technical Acumen: High proficiency in Microsoft Office Suite (especially Excel and PowerPoint) and experience with CRM software (e.g., Salesforce, HubSpot).
  • Problem-Solving: A proactive approach to identifying issues and implementing effective solutions.
  • Team Player: Collaborative spirit with the ability to work effectively with diverse teams.
  • Time Management: Skilled at working under pressure to meet deadlines.
