Responsibilities: Administrative Support: Manage the day-to-day operations in accordance with company policies and standards to maximize profitability and efficiency. Provide administrative assistance to real estate agents and brokers. Coordinate appointments, showings, and property tours. Maintain & fine-tuning operational methods for the sales & leasing departments while improving the overall efficiency of the departments. Prepare NOCs, acquire Trakheesi approvals, list, and post properties online on property portals. Prepare rental and sales contracts (Forms A, B and I), and tenancy renewal contract follow-ups and confirmation. Manage portals and listings on CRM, Property finder, Bayut and Dubizzle. Greet clients, serve refreshments to clients, answer the telephone, and make follow-up calls. Maintain electronic and physical paper filling systems. Communicate with Property developers. Managing & Follow up Sales Team regarding assigned leads. Cold calling to the Secondary Market clients. Pro-actively strive to have an in-depth understanding and keep abreast of the new laws and regulations of the local and international property market and being aware of the current legal issues of the country specifically pertaining to the property law. Supervise, monitor, manage and take responsibility for all deals of the company related to Properties listed/managed/owned by the company. Perform other duties as assigned by the management. Client Interaction: Communicate with clients to gather necessary information and documentation. Assist in drafting and sending client communications, including follow-up emails and updates. Transaction Coordination: Facilitate the real estate transaction process from listing to closing. Coordinate with title companies, lenders, and other parties involved in the transaction. Database Management: Maintain and update the real estate database with accurate and current property listings. Organize and manage client and property files in both digital and physical formats. Marketing Support: Assist in the creation and distribution of marketing materials for property listings. Coordinate and implement marketing strategies to promote properties. Schedule Management: Manage real estate agents\' calendars, scheduling appointments, and coordinating meetings. Arrange travel plans and accommodations for real estate professionals as needed. Qualifications: Proven experience as a Real Estate Administrative Assistant or in a similar role. Strong organizational and multitasking skills. Excellent written and verbal communication skills. Proficient in real estate software and Microsoft Office suite. Knowledge of real estate processes and terminology.
