Job Title: Sales Admin & CRM Manager

Job Summary
The Sales Admin & CRM Manager is responsible for managing sales administrative functions, maintaining and optimizing the CRM system, supporting the sales team with accurate data, and ensuring smooth coordination between sales, marketing, and management. This role plays a critical part in sales performance tracking, lead management, and process efficiency.
Key Responsibilities
Sales Administration
Provide end-to-end administrative support to the sales team
Prepare sales quotations, proposals, contracts, and booking forms
Maintain accurate records of clients, deals, and sales documentation
Coordinate with legal, finance, and operations for deal closures
Track sales pipeline, bookings, cancellations, and handovers
Assist in commission calculations and sales reports
CRM Management
Manage and maintain the company's CRM system (e.g., Salesforce, HubSpot, Zoho, Property CRM, etc.)
Ensure accurate data entry, lead allocation, and opportunity tracking
Monitor lead lifecycle from inquiry to closure
Create and manage automated workflows, reminders, and follow-ups
Train sales team on proper CRM usage and best practices
Audit CRM data regularly to ensure data quality and compliance
Reporting & Analysis
Prepare daily, weekly, and monthly sales performance reports
Analyze conversion rates, lead sources, and sales trends
Generate dashboards and KPIs for management review
Support forecasting and target tracking
Coordination & Communication
Act as a liaison between sales, marketing, and management
Coordinate with marketing on lead campaigns and source tracking
Handle client communications when required
Ensure timely follow-up and task completion by sales executives
Process Improvement & Compliance
Develop and improve sales processes and CRM workflows
Ensure compliance with company policies and data protection standards
Support internal audits and management reviews
Maintain confidentiality of client and company data
Required Skills & Qualifications
Bachelor's degree in Business Administration, Sales, or related field
2-5 years of experience in sales administration and CRM management
Strong knowledge of CRM systems and sales pipelines
Excellent organizational and multitasking skills
Strong analytical and reporting abilities
Proficient in MS Excel, Word, and PowerPoint
Strong communication skills (written & verbal)
Preferred Skills
Experience in real estate, brokerage, or developer firms
Knowledge of commission structures and contracts
CRM certification (Salesforce, HubSpot, Zoho - a plus)
Experience with dashboards and automation
Key Performance Indicators (KPIs)
CRM data accuracy and compliance
Lead response and follow-up efficiency
