Receptionist (UAE National)
Job Title: Receptionist

Reports To: Office Manager / HR Manager
Job Purpose:
To serve as the first point of contact for the company, providing a warm and professional welcome to all guests and callers. The receptionist is responsible for managing the front desk, handling administrative tasks, and ensuring the smooth day-to-day operation of the office.
Key Responsibilities:

  • Front Desk Management: Greet and welcome visitors, guests, and clients in a courteous and professional manner. Notify relevant staff of their arrival.
  • Telephone Operations: Answer, screen, and forward incoming phone calls promptly and professionally, providing basic information when needed.
  • Administrative Support: Perform general clerical duties including photocopying, scanning, filing, and data entry.
  • Mail and Courier Management: Receive, sort, and distribute daily mail/deliveries. Prepare and coordinate outgoing mail and courier packages.
  • Appointment Scheduling: Manage meeting room bookings and assist in scheduling appointments as requested.
  • Office Maintenance: Ensure the reception area, meeting rooms, and pantry are tidy and presentable at all times. Monitor office supplies and place orders when necessary.
  • Visitor Safety: Issue visitor badges and maintain security by following safety procedures and controlling access via the reception desk.
  • Company Liaison: Act as a liaison for building management regarding any office maintenance issues.
Required Skills and Qualifications:
  • Nationality: Must be a UAE National.
  • Education: High School Diploma is required. Additional certification in Office Administration is a plus.
  • Language: Fluency in Arabic and English (both written and verbal) is essential.
  • Appearance: Professional presentation and demeanor.
  • Communication Skills: Excellent verbal and written communication skills, with a friendly and welcoming phone manner.
  • Organizational Skills: Strong organizational and multi-tasking abilities with a keen eye for detail.
  • Interpersonal Skills: Customer-service oriented with the ability to interact positively with all levels of staff and external contacts.
  • Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
