Job Description

Position Overview
We are seeking a friendly, organized, and professional Receptionist to be the first point of contact for our company. You will be responsible for greeting guests, managing our front desk daily, and performing a variety of administrative and clerical tasks. The ideal candidate will have a cheerful disposition, excellent communication skills, and a knack for multitasking in a fast-paced environment.
Key Responsibilities
Front Desk & Guest Services:

  • Greet and welcome visitors, clients, and guests in a warm and professional manner.
  • Notify employees promptly of visitor arrivals.
  • Maintain security by following safety procedures and controlling access via the reception desk (issuing visitor badges, directing sign-ins, etc.).
  • Manage the reception area to ensure a tidy and presentable space.
Communication & Phone Management:
  • Answer, screen, and forward incoming phone calls in a polite and professional manner.
  • Provide basic and accurate information in-person and via phone/email.
  • Receive, sort, and distribute daily mail and deliveries; prepare outgoing mail and packages.
Administrative Support:
  • Perform general clerical duties including photocopying, faxing, filing, and data entry.
  • Order and maintain office supplies; ensure the kitchen and common areas are stocked.
  • Assist with scheduling meetings and booking conference rooms.
  • Coordinate with building management and other vendors for office maintenance issues.
  • Provide support to other teams with administrative tasks as needed.
Qualifications and Skills
Required:
  • High school diploma or equivalent.
  • Proven experience as a receptionist, front office representative, or similar role.
  • Professional appearance and demeanor.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Strong organizational and multitasking abilities.
  • Positive attitude and a customer-service orientation.
Preferred:
  • Associate's or Bachelor's degree in a related field.
  • Experience with a multi-line phone system.
  • Knowledge of office equipment (e.g., printers, fax machines).
  • Basic knowledge of administrative software (e.g., CRM systems, scheduling tools).
