Job Title: Receptionist cum Secretary - FEMALE Location: UMM AL QUWAIN Position Type: [Full-time/Part-time] Company: ORCA FODDERS FACTORY LLC : Receptionist Responsibilities: Welcome and Greet Visitors: Warmly welcome and assist visitors, clients, and employees as they arrive at the office. Manage Incoming Calls: Handle incoming phone calls, take messages, and transfer calls to the appropriate individuals or departments. Front Desk Management: Maintain a clean and organized reception area. Ensure that it reflects a professional and welcoming image of the company. Appointment Scheduling: Schedule and manage appointments, meetings, and conference room bookings. Mail and Package Handling: Sort and distribute incoming mail and packages. Prepare outgoing mail and shipments. Administrative Support: Provide basic administrative support, such as data entry, filing, and document preparation. Secretary Responsibilities: Executive Assistance: Provide administrative support to executives or senior management, including calendar management, travel arrangements, and expense reports. Documentation: Create and maintain company documents, reports, and correspondence. Ensure confidentiality of sensitive information. Meeting Coordination: Arrange and coordinate meetings, conferences, and presentations. Prepare agendas and take meeting minutes when necessary. Email and Communication: Manage and respond to emails on behalf of executives. Handle external and internal communication effectively. Record Keeping: Maintain organized records and files, both physical and digital, for easy retrieval of information. Task Coordination: Assist in coordinating tasks and projects within the organization. Liaise with other departments to ensure smooth operations. Qualifications: Proven experience as a receptionist and secretary or in a similar role. Strong interpersonal and communication skills. Excellent organizational and multitasking abilities. Proficiency in Microsoft Office Suite and other relevant software. Attention to detail and a high level of accuracy. Discretion and ability to handle confidential information.
