We are a growing marketing management company seeking a proactive and dependable
Receptionist cum Secretary
to oversee front office operations while providing comprehensive administrative and executive support. This role also involves assisting the CEO and managers with both business and personal tasks, including visa processing, translations, and travel coordination. Candidates fluent in Arabic will be given preference.
Key Responsibilities
Front Office & Administration
Welcome visitors and manage incoming calls, messages, and correspondence.
Schedule meetings, coordinate calendars, and prepare meeting documents.
Oversee front desk professionalism and monitor office supplies.
Documentation & Records
Organize, archive, and maintain all company documentation (trade licenses, contracts, HR files, finance records, legal papers, permits, etc.) for proper filing and easy retrieval.
Act as the main point of contact for administrative and management staff regarding the handling, filing, and updating of all work-related documents.
Visa & Government Liaison
Handle visa applications for any country as required by the owner/management, including passport renewals and citizenship requirements.
Prepare and process all supporting documents for visa applications (NOCs, invitation letters, employment letters, bank statements, etc.) and coordinate with MOFA, notary public, and attestation authorities as needed.
Assist PRO in UAE staff residency procedures (employment visas, Emirates ID, renewals, cancellations, etc.).
Liaise with government offices, embassies, VFS centers, and other authorities to ensure timely processing of documents and compliance with requirements.
Staff & External Coordination
Liaise with freelancers and external resources, and assist with staff resourcing and coordination when required.
Support with staff-related HR procedures and company compliance tasks.
Executive & Personal Assistance
Support with matters such as rent contracts, cheque processing, travel bookings, and family-related tasks.
Translate English documents into Arabic (letters, contracts, visa-related papers).
Requirements
Female candidates only.
Bilingual - Fluency in
English with Arabic
preferred.
Strong command of English communication (verbal and written).
Experience in English-Arabic translation of business and official documents is an advantage.
Proficient in Microsoft Office (Word, Excel, Outlook).
Excellent organizational skills with strong attention to detail.
Prior experience in administrative, secretary, or executive assistant roles in the UAE.
Familiarity with UAE visa, residency procedures, international visa applications, and attestation processes.
Knowledge of company documentation processes (trade licenses, permits, contracts, HR/finance records) is preferred.
Ability to multitask, prioritize, and handle confidential matters with discretion.

Pay: AED4,000.00 - AED4,500.00 per month
