Project Coordinator / Administrator Administration & HR
Job Purpose:
The Project Coordinator or Administrator will be responsible for planning, coordinating, and managing inspection and audit schedules, ensuring timely and accurate data submission, and facilitating communication between project teams and stakeholders.
The role ensures the smooth execution of HSE inspections, audits, and workshops, contributing to the achievement of project objectives and compliance with client's requirements.
Key Responsibilities:
HSE Inspections & SRA Audits
  • Prepare and finalize inspection scheduling and allocate inspectors with a planned timing prior to inspections.
  • Develop and submit SRA audit plans to entities on time prior to audits.
  • Monitor and follow up on Nonconformance (NC) follow-ups and Critical Case logs.
  • Submit consolidated forms and trend analyses to the Project Manager for review.
  • Track CAP (Corrective Action Plan) submissions and follow-ups to ensure timely compliance.
  • Update and maintain dashboards reflecting inspections, audits, and project data.
  • Review and maintain the portal data for incidents and audit submissions.
  • Prepare and submit project status reports weekly, with trend analyses and key observations.
  • Ensure data consolidation from client for inspection and audit planning.
Workshops Coordination
  • Collaborate with the Project Manager to schedule workshops and communicate details to entities well within the timeframe expected.
  • Compile attendance analysis and ensure certificates are arranged on time.
  • Report unattended entities within the specific time.
  • Coordinate logistics for workshops conducted inside or outside client premises.
Administration and Reporting
  • Prepare and submit project data for client invoicing by the 25th of every month.
  • Ensure proforma invoices are submitted and approved as per contractual requirements.
  • Support in preparing OHSMS approval certificates for high-risk entities.
  • Submit leave plans to the Project Manager at least 2 months in advance to ensure resource continuity.
Qualifications and Experience
  • Bachelor's degree in Environmental Science, Health & Safety, Business Administration, or a related field.
  • Minimum 3-5 years of experience in project coordination, preferably in the HSE sector.
  • Familiarity with HSE inspection protocols and audit processes is highly desirable.
  • Proficient in using reporting tools and dashboards.
  • Strong organizational and time-management skills.
Skills and Competencies
  • Excellent verbal and written communication skills.
  • Strong analytical and problem-solving abilities.
  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint).
  • Ability to multitask and prioritize responsibilities.
  • Team player with a proactive approach to work.
  • Experience with proof reading/editing capabilities is preferred
