Procurement Correspondence & Document Control Coordinator
(Procurement Admin Coordinator / Document Controller - Procurement)
Job Purpose: To support the procurement function by preparing and coordinating official correspondence, controlling incoming/outgoing documents, distributing letters to buyers, following up for responses, and maintaining an accurate correspondence log with dates and response status.
Key Responsibilities

  • Draft and prepare official letters and correspondence related to procurement activities, as instructed.
  • Receive and deliver documents between internal units and external companies (handover/receipt), ensuring proper documentation and acknowledgments.
  • Distribute official letters and correspondence to assigned buyers and ensure they receive the required documents on time.
  • Follow up with buyers to obtain responses to official letters and ensure timely closure of pending actions.
  • Maintain a correspondence tracking log for all incoming/outgoing communications, including:
  • Reference number
  • Subject / description
  • Sender / recipient
  • Date received / sent
  • Assigned buyer
  • Due date / follow-up date
  • Date of response and reply status
  • File and archive correspondence (hard copies) in an organized manner for easy retrieval and audit readiness.
  • Support the team with administrative coordination related to document flow and communication.
