Job Overview
The Procurement Assistant plays a crucial support role in purchasing and quality control processes, helping ensure that goods and services meet operational requirements. Working at JW Marriott Marquis Hotel in Business Bay, you'll contribute to smooth daily hotel operations by coordinating orders, tracking deliveries, verifying invoice accuracy, and supporting vendor relationships. This role is ideal for candidates with strong administrative skills and an interest in supply chain or hospitality procurement.
Key Responsibilities

• Assist with daily purchasing tasks including order entry, filing, and vendor communication
• Monitor stock levels and reorder items based on inventory thresholds
• Support the quality assurance process by conducting basic inspections and logging issues
• Maintain updated records of invoices, purchase orders, and delivery notes
• Communicate with vendors and internal departments to confirm order timelines
• Help identify and resolve delays or inconsistencies in deliveries
• Participate in vendor audits and evaluations when needed
• Ensure all procurement activities comply with internal SOPs and brand policies

Reporting & MIS

• Compile basic procurement reports for review by the purchasing manager
• Track cost-saving initiatives and supplier performance
• Update databases with supplier information and order histories

Financial Management

• Assist in verifying billing and payment requests for accuracy
• Report discrepancies between invoices and goods received

Governance & Standards

• Adhere to procurement procedures in accordance with Marriott's purchasing policies
• Support sustainability and sourcing standards as required

Job Requirements

• Prior experience in purchasing, hospitality, or administrative support preferred
• Strong organizational and data entry skills
• Knowledge of basic procurement or inventory systems is a plus
• Proficiency in Microsoft Excel and office tools
• Strong communication and teamwork abilities
• Ability to work in a fast-paced hospitality environment
