Job Summary:

We are seeking a proactive, highly organized, and detail-oriented

Personal Assistant

to provide comprehensive administrative and operational support to our lead Real Estate Agent/Broker. The ideal candidate will be a strong communicator, able to manage multiple priorities in a fast-paced environment, and possess a keen interest in the real estate industry. This role is crucial for ensuring smooth daily operations and allowing the agent to focus on client acquisition and sales.

Key Responsibilities:

Administrative & Transaction Coordination:



Manage and maintain the Agent's calendar, schedule appointments, showings, and meetings. Handle all incoming and outgoing communications, including screening phone calls and managing the email inbox. Prepare, organize, and manage real estate documents, contracts, listing agreements, and disclosures (under the agent's supervision). Maintain and update the client database (CRM) and filing systems (electronic and paper). Coordinate with clients, lenders, title companies, inspectors, and other vendors to ensure smooth transaction timelines.

Marketing & Client Support:



Assist in preparing and distributing marketing materials (flyers, brochures, social media posts) for listings and team promotion. Coordinate property showings and open houses, ensuring properties are appropriately prepared. Manage and update property listings on MLS and other online platforms. Conduct market research and compile data as needed for Comparative Market Analysis (CMAs). Provide exceptional customer service and follow-up support to past and prospective clients.

General Support:



Run occasional personal and business errands. Manage office supplies inventory and organization. Assist with bookkeeping tasks, expense tracking, and invoice management.
Qualifications and Skills:

Required:



High School Diploma or equivalent. Proven experience in an administrative or assistant role (1-2 years preferred). Exceptional organizational, time management, and multitasking skills. Excellent written and verbal communication skills. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and/or Google Workspace. Strong ability to maintain confidentiality and exercise discretion. Valid driver's license and reliable transportation.

Preferred:



Previous experience in the Real Estate industry. Familiarity with real estate-specific software (e.g., MLS, CRM systems like Follow Up Boss, etc.). Knowledge of basic real estate transaction processes. Associate's or Bachelor's degree.
