To provide a range of reception intake and associated administrative services pertaining to incoming patients. The customer office executive will answer and direct incoming calls to appropriate individuals. Perform specified routine procedures such as greeting and referring patients, answering routine/administrative inquiries, and general office support activities as appropriate.
Responsibilities:
Greets patients and their families to understand the nature of their enquiry.
Provides information to assist patients or refers them to the appropriate contact within or outside the organization.
Advocates for patients' and families' rights, responsibilities, confidentiality, information, and education.
Develops and maintains the feedback/complaint procedure for customers to use and receive redressal.
Communicates all relevant information to the Floor Supervisor on a daily basis.
Expedites the flow of visitors/patients and ensures each person receives outstanding customer service in a friendly environment.
Provides information about medical insurance coverage and verifies the same diligently before sending patients to the doctor.
Investigates patient/visitor concerns and implements appropriate resolutions.
Maintains accurate records of all customer discussions and correspondence.
Performs duties related to patient handling, telephone operations, cash, and back-office tasks as specified in the duty roster.
Performs other related tasks as assigned by higher authorities.
Complies with all OSH and infection control policies, standards, and procedures, and cooperates with hospital management to meet requirements.
Works in accordance with documented OSH procedures, instructions, and specific responsibilities.
Is familiar with emergency and evacuation procedures.
Reports OSH hazards, incidents, near misses, and assists with preparing risk assessments and incident reports.
Complies with waste management procedures and policies.
Attends applicable OSH and infection control training programs, mock drills, and awareness sessions.
Uses appropriate personal protective equipment and safety systems.
Qualifications:
Preferably a graduate in any discipline.
Minimum 1 year of experience as a receptionist in a patient-focused environment; experience operating a multi-line switchboard system is preferred. Interest in working in a hospital environment is desirable.
Proficient in technology applications including basic MS Office (Word, Excel, PowerPoint), MS Outlook, and Internet Explorer.
Exceptional interpersonal skills, maturity, sound judgment, and the ability to communicate professionally with a diverse range of individuals; strong phone etiquette.
Patient-focused, service-oriented, patient and understanding.
Efficient organizational skills with the ability to handle multiple responsibilities under pressure while maintaining composure.
Ability to work independently with minimal supervision.
Reliable, punctual, dependable, and responsive.
Excellent command of oral and written English; Arabic language skills are advantageous but not
