PA to the Principal

About the Role

The PA to the Principal will provide full administrative support to the School Principal. You will communicate with confidence across diverse audiences and situations using your skill to build strong relationships with parents and other senior members of the school.

The PA to the Principal will have the following key attributes and skills:

  • A resilient character; someone who is able to work under pressure and manage their own work schedule
  • Previous secretarial experience - preferably at a high level with experience in supporting senior members of staff within an organisation
  • Previous experience in supporting with recruitment activities, professional development coordination and leadership of others
  • Being kind, supportive, collaborative and trustworthy
The successful candidate will have the following qualifications, skills and experience;
  • Extensive experience of working with Microsoft packages including Word, Excel, PowerPoint and Outlook
  • Outstanding level of English - spoken and written
  • Demonstrable project management skills and experience
  • Excellent understanding of developing customer relationships
  • Leadership experience
  • Experience within an educational context is desirable

Job Purpose

To provide dedicated PA/secretarial and professional support and to manage complex and diverse administrative issues directed to the School Principal and to provide support to the Human Resources Manager by sharing in the management of School Recruitment and Staff Performance Development.

Secretarial
  • Provide full professional, secretarial and administrative support including:
  • Management of the School Principal\'s diary and assist with calendar appointments and planning
  • Coordinate with events or conferences, organise meeting venues, business dinner/lunch and or booking of flights and hotels as required
  • Composing and managing internal and external correspondences, memos and communications from Principal\'s office
  • Collating relevant documents to support the School Principal\'s meeting
  • Undertaking word processing duties including compiling documents, inputting data and typing statistical reports using Microsoft office
  • Organising, attending and taking minutes at the meetings
  • Taking telephone enquiries and filtering messages prior to forwarding to the School Principal or relevant staff
  • Ensure that the School Principal is kept informed and briefed at all times regarding all School operational matters and parents or students issues
  • Work closely with the School Principal and School leadership team to facilitate the School values and vision
  • Maintain manual and computerised files: filing correspondence, records, reports and other documentation to relevant filing systems, in order to ensure effective information storage and retrieval arrangements
  • Carry out any other duties as requested by the Principal
Recruitment
  • Work in conjunction with the School Principal, Human Resources Manager and Senior Leadership team in relation to recruitment needs, resource planning and organising advert campaign
  • Coordinate job adverts for Teachers and place in relevant publications resources
  • Manage Teacher recruitment through \xe2\x80\x9cJob Train\xe2\x80\x9d (e-recruitment system)
  • Identify new sources for advertising and liaise with agencies when appropriate for specialised positions.
  • Negotiate partnerships with appropriate recruitment agencies, service providers and set up service level agreements, with the best rates and service
  • Contact candidate\'s referees and collect acceptable and professional reference letters for the School Principal and SLT review
  • Send offer of employment letter to successful applicant
  • Carry out other relevant duties as directed by the School Principal or Human Resources Manager
Professional Development
  • Work closely with the Principal and other members of the Senior Leadership Team to oversee the professional development requirements for all staff
  • Provide administrative support in the planning, monitoring and evaluation of all professional learning activities and records
  • Liaise with external agencies to participate in professional learning events and to disseminate information to relevant staff
  • Liaise with finance department and senior members of staff in regard to managing the CPD training budget
Leadership
  • Overall accountability with front desk members of staff ensuring that it is highly effective in representing and promoting the first impression of the School
  • To support the key function of the Cr\xc3\xa8che supervisor, manage the allocation of workload and professional development
  • Support the day to day administrative functions as required by the School
Personal Specifications

Qualifications / Training
  • Diploma (or equivalent) in relevant commercial or administrative discipline
Experience / Knowledge
  • 3 years of successful experience in a comparable role
  • Demonstrated ability to succeed in all aspects of an executive personal assistant role
  • High level of communications and computing knowledge
  • Excellent interpersonal and relationship management
  • Knowledge of training methodologies and competency assessment
  • Excellent time management and strong organisational skills
  • Experience in international school setting

Selection Process

Applicants should submit a CV, letter of application and the details of two professional referees, one of which should be your current Line Manager.
