- Office Responsibilities:
Main Responsibilities of the Operations Coordinator:
1- Operations Planning and Coordination
- Plan and schedule transportation operations, ensuring timely and efficient execution, including updating records in the company's Customer Relationship Management (CRM) system.
- Allocate resources, including transportation crews, vehicles, and equipment, based on business requirements.
- Ensure proper coordination between the sales and logistics teams to streamline operations.
- Oversee the packing, and transportation procedures to ensure quality service.
- Supervise the loading, transport, and unloading of goods to minimize damage and delays.
2- Customer Service and Communication
- Act as the primary contact for customers regarding operational issues.
- Communicate with customers to confirm reservation details, special requests, and any last-minute changes.
- Address and resolve customer complaints or issues related to transportation operations.
- Ensure proper documentation of customer requirements, including special handling instructions.
3- Vehicle and Inventory Management
- Monitor and maintain transportation trucks, ensuring regular maintenance and compliance with safety standards.
- Track inventory of packaging materials, tools, and transportation equipment to avoid any shortages.
- Coordinate with the warehouse and follow up with the purchasing department to purchase the necessary transportation supplies.
4- Team Supervision and Training
- Supervise and manage the transportation crew, drivers, and packing staff to ensure proper execution of tasks, including personal hygiene and grooming in line with the company's vision.
- Provide on-the-job training to enhance team efficiency and service quality.
- Ensure compliance with company policies, safety regulations, and customer service standards.
5- Compliance and Risk Management
- Ensure all transportation operations comply with UAE transportation and labor laws.
- Adhere to safety and security protocols to prevent damage, loss, or delays.
- Conduct regular audits and inspections to maintain quality control.
6- Performance Monitoring and Reporting
- Track key operational metrics, such as on-time arrival and delivery, customer satisfaction, and cost efficiency, including control of material and company waste.
- Prepare weekly and monthly operational performance reports.
- Identify process improvements to enhance operational productivity and customer experience.
Requirements:
Proven experience in logistics, operations, or moving services
Ability to work flexible hours and travel to job sites
Knowledge of moving equipment, vehicles, and safety practices.
