Job Description

Payroll Processing

+ Prepare and process monthly payroll accurately and on time for all employees.
+ Ensure compliance with internal policies, employment contracts, and local labor laws.
+ Verify attendance, overtime, deductions, bonuses, and other variable components before payroll finalization.

Employee Data Management

+ Maintain up-to-date employee records in HR and payroll systems.
+ Record new hires, terminations, salary changes, and benefits updates accurately.

Leave and Attendance Tracking

+ Monitor attendance, leave applications, and time-off balances.
+ Reconcile attendance and leave data with payroll each month.

Compliance and Statutory Requirements

+ Ensure compliance with statutory regulations (e.g., gratuity, end-of-service benefits, social security, taxes, and insurance contributions).
+ Prepare and submit relevant government reports and filings as required.

Payroll Reconciliation and Reporting

+ Reconcile payroll data with accounting and finance departments for accuracy.
+ Generate and distribute monthly payroll reports, cost summaries, and variance analyses.

Employee Queries and Support

+ Address employee inquiries regarding payslips, deductions, benefits, and leave balances promptly and professionally.
+ Provide clarification on payroll policies and procedures.

Confidentiality and Record Keeping

+ Maintain strict confidentiality of payroll information and employee data.
+ Organize and securely store payroll-related documentation for auditing and record-keeping purposes.

Coordination with Finance and HR Teams

+ Collaborate with HR to ensure correct implementation of compensation changes, promotions, and benefits.
+ Coordinate with Finance to ensure timely salary disbursements and proper accounting of payroll expenses.

System Management and Improvement

+ Utilize payroll software efficiently for data entry, processing, and reporting.
+ Recommend and support process automation or improvements to enhance payroll accuracy and efficiency.

End-of-Service and Final Settlements

+ Calculate and process final settlements for resignations and terminations.
+ Ensure inclusion of leave encashments, notice period adjustments, and applicable benefits.
