Job Title: HR Assistant

Reports To: HR Manager / Senior HR Officer
Job Summary:
The HR Assistant provides essential administrative and clerical support to the Human Resources department. This role is crucial for the smooth day-to-day operation of HR functions, focusing on maintaining employee records, assisting with recruitment, and being the first point of contact for general HR inquiries. This is an ideal role for someone looking to build a career in HR.
Key Responsibilities:

  • Administrative Support:
  • Maintain and update physical and digital employee records and HR files.
  • Prepare HR-related documents, such as employment contracts, offer letters, and promotion letters.
  • Process HR department invoices and maintain office supplies.
  • Recruitment Support:
  • Schedule interviews and coordinate communication with candidates.
  • Conduct initial screening of resumes and phone interviews for junior positions.
  • Assist in the preparation of onboarding kits and coordinate new hire orientation sessions.
  • Benefits and Payroll Administration:
  • Support the administration of employee benefits programs (health insurance, leave of absence).
  • Assist the payroll department by providing relevant employee data (new hires, leavers, attendance).
  • Employee Queries:
  • Serve as the first point of contact for employee questions regarding HR policies, benefits, and procedures.
  • Direct complex queries to the appropriate HR team member.
  • Database Management:
  • Input and maintain data in the Human Resources Information System (HRIS).
Qualifications and Skills:
  • Associate's or Bachelor's degree in Human Resources, Business Administration, or a related field.
  • 0-2 years of experience in an administrative or support role, preferably within an HR department.
  • Proficiency in MS Office, particularly Excel and Word.
  • Familiarity with HRIS systems is a plus.
  • Excellent organizational and time-management skills.
  • Strong verbal and written communication skills.
  • High level of discretion and ability to handle confidential information.
