HR & Admin Officer

About the Role
We are seeking a highly organized and proactive HR & Admin Officer to become an integral part of our team. This dual-function role is critical in ensuring smooth human resources operations and efficient office administration. The ideal candidate will be a dynamic individual with a strong grasp of HR fundamentals, exceptional attention to detail, and the ability to manage multiple administrative tasks in a fast-paced environment. You will be the central point of contact for employees and management, supporting our most valuable asset--our people--while ensuring our office runs seamlessly.
Key Responsibilities
Human Resources:

  • Recruitment Support: Manage the full recruitment lifecycle--from posting job ads and screening resumes to coordinating interviews, conducting reference checks, and issuing employment offers and contracts.
  • Onboarding & Offboarding: Facilitate a smooth onboarding process for new hires, including documentation, orientation, and setup. Manage the exit process for departing employees.
  • Documentation & Record Keeping: Maintain accurate and up-to-date employee records (both digital and physical) in compliance with UAE labor laws and company policies. Prepare HR letters (experience, NOC, etc.).
  • Employee Coordination: Serve as a first point of contact for employee queries on HR policies, benefits, and procedures. Foster a positive work environment.
  • Attendance & Leave Management: Monitor and manage employee attendance, leaves, and time-off requests using the company's HR system.
  • Performance Management: Assist in the coordination of performance review cycles and track completion.
Administration:
  • Office Management: Oversee day-to-day office operations, ensuring a clean, secure, and well-maintained work environment. Manage office supplies and inventory.
  • Vendor & Facility Coordination: Liaise with vendors, landlords, and service providers (cleaning, maintenance, couriers, etc.).
  • Travel & Logistics: Arrange travel, accommodations, and local transportation for staff and visitors as needed.
  • Meeting & Event Support: Coordinate logistics for meetings, conferences, and company events. Manage meeting room bookings.
  • Documentation & Compliance: Handle general company documentation, including license renewals, tenancy contracts, and other administrative filings as required.
Qualifications & Skills
  • Education: Bachelor's degree in Human Resources, Business Administration, or a related field.
  • Experience: Minimum of 2-3 years of proven experience in a combined HR and Administration role, preferably within the UAE. Knowledge of UAE Labor Law is a significant advantage.
  • Organizational Skills: Excellent ability to prioritize tasks, manage time effectively, and maintain meticulous records.
  • Communication Skills: Strong verbal and written communication skills in English (Arabic is a plus). Ability to interact professionally with all levels of the organization.
  • Discretion & Ethics: High level of integrity and ability to handle confidential information with absolute discretion.
  • Tech Proficiency: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Experience with HRIS software is preferred.
  • Proactive Attitude: A self-starter with a problem-solving mindset and a willingness to take initiative.
