We are looking for a proactive and detail-oriented Holiday Homes Administrator to join our dynamic team.
Job Summary:
The Holiday Homes Administrator will be responsible for overseeing the daily operations of our holiday home portfolio. This role requires a meticulous, organized, and highly motivated professional who understands the complexities of managing short-term rentals. The ideal candidate is passionate about operational efficiency, accurate reporting, and seamless guest management. Key Responsibilities:
1. Booking and Calendar Management:
Manage property listings across multiple platforms, including Airbnb, Booking.com, and direct booking sites.
Update availability, pricing, and property information regularly to ensure accuracy.
Manually enter bookings received via phone, email, or other direct channels.
Synchronize booking calendars to prevent double bookings and ensure seamless scheduling.
Monitor booking confirmations, cancellations, and modifications to maintain accurate records.
2. Pricing and Revenue Management:
Implement dynamic pricing strategies using PriceLabs to maximize revenue.
Regularly update rates in response to market conditions, seasonal demand, and occupancy levels.
Accurately record revenue data in Xero, maintaining consistent financial tracking.
Generate and analyze revenue reports, identifying trends and areas for improvement.
Prepare and issue invoices to guests and property owners, ensuring timely and accurate billing.
3. Documentation and Record Keeping:
Maintain comprehensive and organized records of bookings, payments, guest interactions, and financial transactions.
Prepare and update daily logs, tracking revenue, occupancy, and guest feedback.
Manage digital documents in Monday.com and ensure proper file organization.
Generate routine reports for management, summarizing booking statistics and revenue performance.
4. Guest Communication and Support:
Manage guest interactions through a unified communication platform, ensuring prompt and professional responses.
Send booking confirmations, check-in details, and follow-up messages to enhance guest experience.
Address guest inquiries, issues, and complaints promptly, maintaining a high standard of customer service.
Coordinate with cleaning and maintenance teams to ensure properties are guest-ready at all times.
5. Daily Operations and Reporting:
Perform daily checks to ensure that all property details, booking information, and pricing are up-to-date.
Generate daily activity reports to summarize bookings, financial transactions, and guest communications.
Conduct regular quality control checks to verify data accuracy across all platforms.
Prepare monthly performance summaries, highlighting key metrics and operational insights.
6. Software and System Management:
Utilize Guesty/Hostify for booking management and calendar synchronization.
Manage financial entries and reconciliation in Xero.
Track daily tasks, guest issues, and team coordination using Monday.com.
Implement updates and improvements to operational processes as needed.
Skills and Qualifications:
Minimum 2 years of experience in holiday home management, property administration, or a similar role.
Proficiency in property management software (Guesty/Hostify), booking platforms (Airbnb), and financial tools (Xero).
Strong organizational and multitasking skills with attention to detail.
Excellent communication and customer service skills.
Proficiency in Microsoft Excel for data management and analysis.
Ability to work independently and as part of a team in a fast-paced environment.
Problem-solving skills with a proactive approach to operational challenges.
