Head of HR Shared Services

Job Purpose

The primary responsibility is to provide leadership oversight in the functions Payroll, Staff Travel & Employee Services across all companies within Air Arabia Group and in compliance with applicable labor/ employment laws and regulations. The role is pivotal in the efficient provision of services to employees and to drive change initiatives to improve the employee experience.

Key Result Responsibilities

Responsible for implementing a shared services model into the HR function with the aim to optimize resources, streamline processes, provide efficient services, and improve employee experience.

Responsible to automate processes, Digitalization of centralized shared services, leverage technology, optimize resources and leads the implementation of changes across the Group, with the aim of enhancing service levels and managing costs.

Through analysis, proactively identifies and implements opportunities to improve the employee experience through changes in protocols internally and through vendors. Monitors internal control procedures to ensure accountability.

Provides direction and overseas the Payroll function across all companies ensuring compliance with local laws and regulations & Air Arabia Group standards. Supports, advises, guides the Payroll team members regarding system processes & enhancements and interpretation of new employment conditions.

Key Responsibilities - Continued

Oversees & directs the Staff Travel function ensuring optimum use of resources, implementation of standardized processes across the Group and enhancement of Staff Travel service delivery.

Ensures that all processes with respect to documentation (i.e., visas, residency permits and related medical processes), are managed efficiently through in-house or outsourced agreements and that agreed service level standards are maintained, through regular monitoring and corrective actions.

Ensures renewal & administration processes for all insurances (including Medical, Life, Loss of license etc.) commences sufficiently in advance of expiry deadlines. Partners with Procurement Team to obtain competitive tenders for new/renewal of insurance agreements. Supports all companies in their insurance renewal processes inline with Group standards and local regulations.

Reviews insurance policy terms and recommends enhancements for consideration/advice. Communicates with vendors on renewals/enhancements/cancellations appropriately and well within the stipulated time frame to comply with local regulations and avoid penalties.

Overseas the timely enrolment of employees under the respective Social Security Pension scheme for new joiners are all executed as per the company\'s policies and procedures and in accordance with respective regulations. Facilities for communications with relevant stakeholders as required.

Develops robust processes which ensure the maintenance and integrity of all systems and data across the functions.

Key Responsibilities - Continued

Partners with Procurement teams to ensure that all vendor selection and negotiations are in the best interest of the company to meet the Group standards, employment terms and budgeted amounts.

Develop a culture of continuous improvement across the HR Shared Services team. Sets and monitors KPIs ensuring high quality, timely and customer focused transactional HR processes. Guides, Coaches, and mentors team members for career growth and professional development.

Provide data analytical reports with corrective actions to Executive Management when required.

Perform additional task as assigned by Line manager.

Qualifications (Academic, training, languages)

Bachelor\'s degree in human resources/Human Sciences/ Technology/ Business Administration/ Management or equivalent from a recognized university; (MBA) with major in the specified or related area is preferred.

HR Professional qualifications such as CIPD, SCP, SPHRi, HRCI etc. are an added value.

Excellent communication skills: business writing, presentations, public speaking and reporting skills.

Proficient in Microsoft Office

Fluent in English Language is a must.

Proficient in Arabic language is an advantage

Work Experience

12+ years of comprehensive working experience in Human Resources, in any service industry preferably in Airlines out of which a minimum 4 years at least in a senior managerial level leading HR Shared Services

Must have worked in a mid-sized organization operating on a regional/multinational level.

Experience in working with Technology partners in implementing and enhancing SAP HR Systems would be preferred.
