About the Role:
We are seeking a polished and professional Front Office Receptionist to be the first point of contact for our company. The ideal candidate will be the face of our organization, responsible for creating a positive and lasting impression on all visitors and callers. This role requires exceptional communication skills, a proactive attitude, and the ability to manage multiple tasks efficiently in a fast-paced environment.
Key Responsibilities:
Front Desk & Visitor Management:

  • Greet all visitors, clients, and guests warmly and professionally.
  • Manage the reception area, ensuring it is tidy and presentable.
  • Handle visitor check-ins and check-outs, including issuing security badges and notifying staff of guest arrivals.
  • Direct visitors to the appropriate person and meeting room.
  • Maintain security by following safety procedures and controlling access (logbook, issuing visitor badges).
Communication & Call Handling:
  • Answer, screen, and forward incoming phone calls promptly and courteously.
  • Provide basic and accurate company information in-person and via phone/email.
  • Manage the company's main email inbox, responding to or directing inquiries as appropriate.
  • Receive, sort, and distribute daily mail/deliveries and coordinate courier services.
Administrative Support:
  • Schedule and confirm appointments and meetings as requested.
  • Assist with administrative tasks such as photocopying, scanning, filing, and data entry.
  • Coordinate meeting room bookings and ensure they are prepared for use.
  • Order and maintain office supplies for the reception and common areas.
  • Provide support to other departments as needed.
Required Skills & Qualifications:
  • Experience: Proven experience as a Receptionist, Front Office Representative, or similar role.
  • Communication: Strong communication skills in English (both verbal and written). Knowledge of Arabic is a significant advantage.
  • Professionalism: Professional appearance and attitude with a friendly, patient, and customer-oriented approach.
  • Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Personal Attributes: Excellent organizational and time-management skills. Ability to multitask and prioritize effectively.
  • Discretion: High level of integrity and discretion in handling confidential information.
  • Availability: Immediate joiners are preferred.
