Job Description

Job Overview: The Operations Coordinator is the central nervous system of our mobile operations. You will be responsible for efficiently deploying our supervisor and service staff, managing the daily schedule, and serving as the primary point of contact for both customers and field staff. This role requires a highly organized, self-starting individual who can solve problems quickly, communicate effectively, and ensure every customer has an Xtreme-ly positive experience.

Key Responsibilities:

Team & Field Operations Management:

Dispatch and coordinate the daily schedules for supervisor and service staff teams across multiple locations.

Assign tasks and ensure all teams are clear on their daily objectives and customer requirements.

Conduct follow-ups with staff to confirm job completion, address on-site issues, and ensure quality standards are met.

Monitor team movement and optimize routes for efficiency.

Customer Relationship Management:

Serve as a primary point of contact for customers, handling inbound and outbound calls and messages.

Proactively contact customers to confirm appointments, provide service updates, and gather post-service feedback.

Professionally and effectively handle customer complaints, providing timely solutions to resolve issues and maintain high satisfaction.

Administrative & Scheduling Duties:

Manage and oversee the master service schedule using our booking software.

Process new bookings, reschedules, and cancellations efficiently.

Maintain accurate records of customer interactions, transactions, and issues.

Quality Control & Initiative:

Take initiative to identify operational inefficiencies and propose improvements.

Follow up on all tasks to ensure nothing is missed and all operations run smoothly.

Demonstrate a proactive approach to problem-solving without needing direct supervision.

Mandatory Requirements:

Language Skills: Excellent (fluent) command of both English and Arabic (written and verbal) is essential.

Experience: Proven experience in an operations, coordination, or customer service role, preferably in a field service, logistics, or mobile service environment.

Communication: Exceptional phone etiquette and ability to handle high-pressure calls and complaints with empathy and professionalism.

Visa & Bond:

Must be legally eligible to transfer their residency visa to Xtreme Auto Care.

Must be willing to sign a five (5) year employment bond with the company upon hiring.
