Role Overview
The Facility Coordinator is responsible for the overall maintenance, safety, technical functionality, and operational readiness of the business center. This role ensures that all building systems, facilities, and IT-related services operate reliably and in line with Haibu Space's quality standards. The Facility Coordinator works closely with the Facility Manager, operations, community teams, and external vendors to maintain a best-in-class business center environment.
Key Responsibilities
Facilities & Building Operations
Oversee daily facility operations across offices, meeting rooms, common areas, and back-of-house areas
Ensure proper functioning of HVAC, electrical, plumbing, lighting, and fire & life safety systems
Conduct regular inspections and preventative maintenance programs
Respond promptly to maintenance issues and coordinate corrective actions
IT & Technical Support
Provide first-line IT support (basic troubleshooting) for members and internal teams
Support Wi-Fi, internet connectivity, network access, printers and meeting room technology
Coordinate with external IT service providers for escalated issues
Assist with IT setup and technical onboarding for new members
Monitor shared IT infrastructure uptime and performance
Vendor & Contractor Management
Manage maintenance, IT, cleaning, security, and specialist contractors
Supervise fit-outs, cabling works, IT installations, and minor renovations
Ensure contractors comply with safety, timelines, and quality standards
Support procurement, contract reviews, and cost control
Health, Safety & Compliance
Ensure compliance with UAE Civil Defense, municipality, and HSE regulations
Maintain fire safety systems, emergency procedures, and evacuation plans
Conduct safety inspections, audits, and risk assessments
Maintain all regulatory and compliance documentation
Space & Asset Management
Manage facility and IT assets, equipment, and inventories
Coordinate office reconfigurations, moves, and technical setups
Track warranties, licenses, and maintenance schedules
Support office handovers and readiness for new members
Budgeting & Reporting
Assist in preparing and managing facilities and IT-related budgets
Monitor operating costs and identify efficiency opportunities
Prepare maintenance, incident, and system performance reports
Collaboration & Support
Work closely with Community and Operations teams to minimize member disruption
Support emergency response, business continuity, and system recovery
Assist with new site openings and expansions
Requirements & Qualifications
Bachelor's degree or diploma in Facilities Management, Engineering, IT, or related field
5+ years' experience in facilities or technical operations (business centers, commercial offices, hotels, or mixed-use assets preferred)
Strong knowledge of MEP systems and basic IT/network infrastructure
Experience coordinating facilities and IT vendors
Familiarity with UAE regulatory and compliance standards
Proficiency in MS Office; FM or IT service management systems are an advantage
Ability to join immediately or on short notice is essential
UAE experience is a MUST. Must be currently available in the UAE for a face to face interview.
