Oversee daily building operations including cleaning, security, utilities, and maintenance services.
Schedule preventive maintenance for HVAC, electrical, plumbing, and other essential systems.
Respond promptly to facility-related issues, repairs, and emergencies.
2. Vendor & Contractor Management
Source, negotiate, and manage service contracts (cleaning, security, pest control, landscaping, etc.).
Supervise on-site contractors to ensure compliance with safety standards and agreed service levels.
3. Health, Safety & Compliance
Ensure the facility complies with local health, safety, and environmental regulations.
Maintain records for fire drills, safety inspections, and equipment certifications.
Implement workplace safety policies and coordinate emergency preparedness plans.
4. Budget & Reporting
Prepare and monitor the facility budget, including utilities, repairs, and maintenance costs.
Track and report on facility expenses, proposing cost-saving initiatives where possible.
5. Space Planning & Office Support
Manage office seating plans, meeting room allocations, and any office moves or renovations.
Oversee inventory of office furniture, equipment, and supplies.
Support employees with workspace-related requests.
Qualifications & Skills
Bachelor's degree in Facilities Management, Business Administration, or a related field (preferred).
Proven experience (3-5 years) in facility administration, office management, or property management.
Strong understanding of building systems (HVAC, electrical, plumbing).
Knowledge of health, safety, and environmental regulations.
Excellent organizational and vendor management skills.
Proficient in MS Office and facility management software.
Strong communication, problem-solving, and multitasking abilities.
