Based in Dubai office, the Facilities and Office Coordinator role will report to the Regional Facilities Manager APAC (based in Manila), with a dotted line to the General Manager - MENA (based in Dubai). The person in this role will be responsible for maintaining the highest standards in the Dubai office for local team and visitors.

Office management:
  • Ensuring smooth day-to-day running of the office to support local business operations, maintaining adequate stock levels of stationery and pantry supplies, liaising with building management on preventative and reactive maintenance issues, timely reporting these to the local management and the line manager.
  • Coordinate and support office moves, desk allocations, space management, and office improvements.
  • Support office space utilization improvement project by engaging in organization of office social activities, tracking compliance of the desk booking software, liaise with wider Global Facilities team on other related initiatives. Escalate any issues to the line manager and/or local stakeholders.
  • Support and coordinate other projects as instructed by the line manager.
  • Gain the knowledge of company policies and processes related to health and safety, office security, real estate, ergonomics and ensure local staff\xe2\x80\x99s compliance.
  • Support the Global Facilities team in conducting office and remote workspace ergonomics assessments in line with local and company Display Screen Equipment compliance.
  • Support in the local office initiatives related to environmental and sustainability initiatives.
  • Prepare regular reports, including desk utilization, local facilities budget reconciliation, monthly expenses for COO.
  • Analyse and propose improvements to existing processes including but not limited to booking couriers, security, H&S.
  • Ensure full compliance with UAE legislation for matters related to compliance with office health & safety.
Financial and budgetary responsibilities:
  • Ensure office management related spend is within approved budget and expenses are timely reconciled.
  • If required raise purchase orders and process invoices as instructed by the line manager.
Business Travel:
  • Ensure staff\xe2\x80\x99s compliance with the Group Business Travel policy.
  • Support staff with business travel booking process and facilitating approvals.
  • Assist business travellers with obtaining necessary documentation and visa arrangement process (AXS).
Supplier management:
  • Manage relationships with the office vendors and suppliers network ensuring all contracts are compliant with company supplier engagement processes; conduct regular review of commercial terms and provided services to ensure YouGov is offered the best deal.
  • Maintain record of all vendors in a dedicated system (as instructed by the line manager).
IT Support
  • Under the direction of IT Team Leader, maintain asset register for IT equipment, keep track of all changes.
  • Support IT in issuance and retrieval of IT equipment for new hires and leavers (laptops, other IT peripherals)
HR support
  • Support new hires and leavers with setting up workstation, desks assignment, desk booking intro, ergonomics assessments (for both remote and office based)
  • Support HR Ops in employment visa application process as and when required.
Qualifications

What do I need to bring with me?
  • Previous experience in a similar role.
  • Excellent levels of customer service supported by high level of communication skills.
  • This role is great fit for a skilled multi-tasker, and great level of attention to details is a key to success.
  • Strong working knowledge of MS office, specifically Excel and PowerPoint.
  • Knowledge of facilities standards, policies, metrics, and best practices.
