We are growing our team in Riyadh, with an excellent Office Coordinator. This role will provide a range of services to the business and an elevated level of customer service to internal customers.

Key responsibilities and duties are listed, but are not limited to, the below:
  • Assisting with office inspections to ensure exit routes are always clear and office cleanliness, hygiene, and housekeeping are maintained
  • Reporting any safety hazards as per company policy
  • Providing a broad range of general administrative support including letters, bulletins, and arranging meetings and hotel bookings
  • Fulfilling any client accommodation requirements that may arise from time to time and acting as their first point of contact
  • Assisting with a broad range of facilities management tasks
  • Creating and setting up electronic databases, logs and registers using MS Excel & hyperlinks to ensure accurate records of office maintenance are kept
  • Maintaining SharePoint site and electronic filing
  • Assisting with various projects including space planning, office modifications, and updating and testing of office recovery plans, etc.
  • Assisting with writing, updating, and implementing local office procedures and process flows cooperating with management and unit, regional, and Group safety advisors in carrying out safety audits and inspections and acting on instructions issued by them;
  • Arranging procurement of all goods and services provided by equipment and material vendors/suppliers to office premises as per company Procurement policy.
  • Ensuring all vendors/suppliers comply with Group Procurement Policy and Due Diligence procedures
  • Ensuring all office security protocols and processes are in place and comply with Group Directives
Candidate Specification
  • Educated to Diploma level
  • Arabic speaking is mandatory
  • Solid communication skills in both written and spoken English
  • Sound interpersonal skills with the ability to build and maintain effective working relationships with colleagues, other support functions; vendors/suppliers and government authorities, etc.
  • Experienced in handling a wide range of administrative, office, and facilities management tasks with the ability to work independently, obtaining desired results with little or no supervision
  • Highly organised with strong, forward-planning and time management skills to prioritise and organise the office management teams and their workload;
  • Proficiency in Microsoft Word, Excel, PowerPoint and Outlook
  • Strong customer focus
  • Proactive, enthusiastic, with a conscientious working nature, hard-working, punctual, and reliable
  • Positive, resourceful and flexible with a proactive solution-focussed attitude.
  • Patience and a calm disposition.
