Reporting directly to the Board of Directors, the Executive Assistant provides executive support in a one-on-one working relationship. The Executive Assistant must be creative and enjoy working within a small, entrepreneurial environment that is results-driven and community oriented. The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities and handle confidential matters with discretion. Responsibilities:
Acting as a first point of contact: dealing with correspondence and phone calls.
Sustain a daily calendar of meetings and events.
Supporting the management members on all aspects of daily administration, including diary management, scheduling internal and external meetings, conference calls and other necessary arrangements.
Responsible for organizing travel and logistics including flights, visa requirements, hotel accommodation, meeting schedules while travelling and ensuring compliance of all travel related documents and procedures
Monitor and respond to all internal and external communications effectively.
Open, sort and distribute incoming correspondence, faxes, emails, and other communication \xe2\x80\x93 distribute as applicable
Secretarial support for meetings as and when required, including drafting and circulating meeting agendas, communicating meeting reminders, amongst other tasks
Maintain proper physical and digital filing of correspondence and documents
Track and proactively follow-up on requests until proper completion
Maintaining professionalism and strict confidentiality with all materials and exercise discretion
Effectively communicating of driver schedules and other related task to ensure proper completion of both professional and personal tasks for all management members
Reminding the management members of important tasks and deadlines and of any other personal commitments
Should be flexible with work timings and able to manage schedule for self in line with the schedule of the management members
Qualifications:
Bachelor\xe2\x80\x99s Degree from an accredited university
02 to 04 years of experience of supporting multiple senior stakeholders as an Executive Assistant.
Extensive experience in creating documents and spreadsheets, using office software such as MS Word, Excel, and PowerPoint.
Advanced typing, note-taking, recordkeeping, and organizational skills.
Ability to manage internal and external correspondence.
Working knowledge of printers, copiers, scanners, and fax machines.
Proficiency in appointment scheduling software such as MS Outlook, as well as call forwarding.
Excellent written and verbal communication skills.
Fluent English is essential
Exceptional interpersonal skills.
Ability to multitask and efficient coordination between personal and professional tasks
