Key Responsibilities ?Organize and maintain CEO agenda for business appointments: Schedule & manage all business meetings Schedule & manage government or high-profile meetings Schedule & manage personal appointments Schedule & manage social events participation Greet visitors, announce visitors to the concerned department, accommodate visitors Maintain the meeting / conference room booking calendar Take & Draft minutes during meetings ?Maintaining CEO email account: Manage CEO emails and notify important emails. Serve as a liaison between CEO and Head of departments to ensure timely follow up & completion of agreed tasks Managing CEO\xe2\x80\x99s calendars and set up meetings ?Meetings and Events arrangements: Schedule participation, prepare support documents as per CEO instructions and arrange venue booking and set up for internal and external meetings Take & Draft minutes during meetings Meeting minutes\xe2\x80\x99 actions follow ups
?Business trips and personal travel plans Plan, Schedule & Execute the Business trips & Personal Travel Plans Make the travel arrangements and other bookings (hotel, flight ticket, airport transfer bookings\xe2\x80\xa6) for CEO, self and agreed participants Prepare event report for all events participated.
?Other Tasks: Perform administrative task such as: preparing reports, creating spreadsheets, power point presentations, filing and data entry, word processing for internal and external corporate communication as per CEO, executive management and department heads Acting as the point of contact among executives, employees, clients and other external partners Managing information flow in a timely and accurate manner Format information for internal and external communication \xe2\x80\x93 memos, emails, presentations, reports Screen and direct phone calls and distribute correspondence Organize and maintain the office filing system Maintaining the current filing and database system, and looking for ways to improve current systems Carry out any ad hoc requests as directed by the CEO Managing all personal schedules of CEO Qualifications Required ?Bachelor\xe2\x80\x99s Degree (preferably in Administration) ?Executive Assistant Certification preferred Experience Required ?5+ Years of experience Auxiliary Requirements ?Time management and ability to meet deadlines ?Excellent verbal and written communication skills ?Strong organizational & management skills and ability to multitask ?Problem-solving and decision making ?Proactivity and self-direction ?Interpersonal skills ?Proficiency in MS Office Suite & Outlook. ?Familiarity with office gadgets and applications (e.g. e-calendars and copy machines) ?Professional discretion and confidentiality ?Keen attention to details ?Strong Follow up & Reporting Skills
