Job Description

The Role:
We are seeking a highly organized, proactive, and professional Executive Assistant to provide comprehensive support to our Co-founder and CEO. This is a critical role that ensures the CEO's time and focus are optimized for maximum strategic impact. The ideal candidate will be a master of coordination, a clear communicator, and a trusted partner capable of handling a wide range of administrative and executive tasks with discretion and efficiency.
Key Responsibilities:

  • Executive Support & Calendar Management:
  • Proactively manage the CEO's complex and dynamic calendar, including scheduling, rescheduling, and prioritizing meetings, appointments, and commitments.
  • Act as a gatekeeper and liaison, ensuring the CEO's time is aligned with strategic priorities.
  • Coordinate and prepare materials for internal and external meetings, ensuring the CEO is well-prepared.
  • Communication & Liaison:
  • Serve as the primary point of contact between the CEO and internal teams, external partners, and clients.
  • Handle confidential information with the utmost discretion and professionalism.
  • Draft, review, and send communications on behalf of the CEO.
  • Travel & Logistics:
  • Arrange complex domestic and international travel itineraries, including flights, accommodation, ground transportation, and visas.
  • Prepare detailed travel agendas and ensure all logistics are seamless.
  • Document & Presentation Preparation:
  • Prepare, edit, and format reports, presentations, memos, and other documents with a high degree of accuracy and clarity.
  • Create compelling PowerPoint/Google Slides presentations for board meetings, investor updates, and company all-hands.
  • Meeting Coordination:
  • Organize and coordinate executive-level meetings, including preparing agendas, taking minutes, and tracking action items to ensure follow-through.
  • Manage logistics for board meetings and other critical company events.
Qualifications & Skills:
  • Required:
  • 2-4 years of experience as an Executive Assistant, Personal Assistant, or similar role, preferably supporting C-level executives.
  • Exceptional proficiency in Microsoft Office Suite (especially Outlook, PowerPoint, Word, and Excel) and/or Google Workspace.
  • Outstanding organizational and time-management skills with a proven ability to prioritize tasks in a fast-paced environment.
  • Excellent verbal and written communication skills.
  • Impeccable attention to detail and a commitment to producing high-quality work.
  • High degree of professionalism and discretion in handling confidential information.
  • Proactive, resourceful, and able to anticipate needs before they arise.
  • Preferred (Bonus):
  • Experience in a startup or fast-paced tech environment.
  • Basic experience with project management tools (Asana, Trello, etc.) or CRM systems (Salesforce, HubSpot).
