Job Title: Department Coordinator

Reports To: Department Head / Manager
Job Purpose:
To provide comprehensive administrative and operational support to a specific department, ensuring efficient workflow and facilitating communication and coordination both within the department and with other teams. This role is key to enhancing departmental productivity.
Key Responsibilities:

  • Administrative Support: Provide high-level administrative support to the department head and team members, including scheduling meetings, preparing agendas, and taking minutes.
  • Project Coordination: Assist in the coordination of departmental projects, track progress, and ensure deadlines are met. Prepare and distribute project status reports.
  • Communication Hub: Serve as a central point of contact for the department, relaying information between team members, other departments, and external stakeholders.
  • Documentation & Reporting: Prepare, edit, and format documents, presentations, and reports. Maintain departmental files, records, and databases.
  • Meeting & Event Planning: Coordinate logistics for departmental meetings, workshops, and events, including venue booking, catering, and material preparation.
  • Process Improvement: Identify opportunities to improve administrative processes and workflows within the department to increase efficiency.
  • Budget Support: Assist the department head in tracking expenses, processing invoices, and monitoring the departmental budget.
  • Resource Management: Coordinate the procurement of departmental supplies and equipment.
Required Skills and Qualifications:
  • Nationality: Must be a UAE National.
  • Education: Bachelor's degree in Business Administration, Management, or a field relevant to the department.
  • Language: Fluency in Arabic and English (both written and verbal) is essential.
  • Experience: 1-2 years of experience in an administrative, coordinator, or executive assistant role is preferred.
  • Organizational Skills: Superior organizational and time-management skills with the ability to prioritize multiple tasks seamlessly.
  • Communication Skills: Excellent written and verbal communication skills. Ability to draft professional correspondence and reports.
  • Problem-Solving: Proactive and resourceful, with strong problem-solving skills and the ability to work independently.
  • Technical Skills: Advanced proficiency in Microsoft Office Suite (especially Word, Excel, and PowerPoint). Experience with project management software is a plus.
  • Discretion: Ability to handle confidential information with integrity and discretion.
