Job Title: Customer Relations Executive (Female ONLY)

Employment Type: Full-time

Role Summary:

We are seeking a proactive and service-driven Customer Relations Executive who will be responsible for managing the full customer experience across the clinic Wellness programs. The role will ensure that every patient journey is smooth, personalized, and emotionally engaging--from first contact to post-care follow-up. This position will work closely with the medical, wellness, and operations teams to integrate hospitality standards into healthcare, ensuring that clients feel supported, valued, and cared for at every step.

Key Responsibilities:

Act as the primary point of contact for wellness program clients, ensuring a personalized, efficient, and warm experience from registration through to program completion. Manage appointment scheduling, coordination between specialties (Family Medicine, Psychiatry, Nutrition, Physiotherapy, etc.), and assist in minimizing patient wait times. Ensure all patients are properly oriented on their treatment plans, program schedules, and any preparatory steps required. Proactively handle inquiries, feedback, and concerns, resolving issues with professionalism and empathy. Support the creation and refinement of patient journey protocols, including greeting, check-in, lounge experience, handover between departments, and follow-up communications. Coordinate closely with clinical teams to anticipate patient needs and support seamless service transitions across departments. Track customer satisfaction metrics and propose improvements to further elevate the patient experience. Maintain high standards of discretion, confidentiality, and professionalism in all interactions. Help manage pre-arrival preparation, welcome packages, and emotional touchpoints that enhance the wellness experience. Stay informed about all clinic services and programs to guide and educate patients accurately.
Qualifications:

Bachelor's degree in Hospitality Management, Healthcare Administration, or a related field preferred. 3+ years of experience in customer relations, patient experience, hospitality, or wellness environments. Strong organizational and coordination skills with exceptional attention to detail. Empathetic communication style, with the ability to build trust and rapport with diverse clientele. Passion for holistic health, wellness, and delivering service excellence. Proficient in CRM systems and appointment management tools. Professional appearance and demeanor, aligned with the clinic brand values.
