ROLE DEFINITION:

Under the general direction of the Country Director of Sales within the limits of established Rixos Hotel Policies and Procedures, implements all sales activities in his / her area of responsibility and maintains the overall efficiency of standards set. Promotes a positive work environment.

WHAT WE EXPECT OF YOU:

MAIN DUTIES AND RESPONSIBILITIES:

\xc2\xb7 Answers the telephone and directs enquiries to proper person, and, if necessary, gives knowledgeable information of availability of room and function space of the hotel.

\xc2\xb7 Co-ordinates and follows up with internal departments.

\xc2\xb7 Composes letters on behalf of the Country Director of Sales.

\xc2\xb7 Ensures all correspondence is filed in a methodical systematic basis.

\xc2\xb7 Attends meetings, records and distributes the minutes and follows up on action items if requested by the Country Director of Sales.

\xc2\xb7 Maintains a database of contacts, which may be required by the Sales team.

\xc2\xb7 Use a diary or to-do list for daily assignment/task.

\xc2\xb7 Ensure that trace file is checked and action(ed) on a daily basis.

\xc2\xb7 Handle telephones/calls as per the hotel standard and takes messages and priorities where necessary and inform the concern guest

\xc2\xb7 Ensures all outgoing correspondence is typed, proof read and distributed or sent to the highest possible standard.

\xc2\xb7 Prepares letters, memos and other correspondences on behalf of the Country Director of Sales.

\xc2\xb7 Sets up a filing system for all relevant and important correspondence or documents.

\xc2\xb7 Sets up a commercial database according to specific sources, updates and maintains the systems accurately

\xc2\xb7 Update guest database regularly.

\xc2\xb7 Implements a daily follow up system.

\xc2\xb7 Any other duties assigned by the Dept. Head.

\xc2\xb7 Thoroughly familiarizes oneself with the Hotel\xe2\x80\x99s emergency procedures and is in a state of preparedness for any emergency which may occur.

\xc2\xb7 Maintains a monthly overview of vacation- and public holiday balance of all his/her staff and delivers a monthly consolidated summary to HR Department.

\xc2\xb7 He/she is familiar with all related company documentation and especially with the relevant Operational Standards Manual for his/her field of responsibility.

\xc2\xb7 Other duties as assigned.

\xc2\xb7 Assist in Task Force Teams for new openings.

EDUCATION AND EXPERIENCE

Minimum two years\xe2\x80\x99 experience with the same position in a 4 or 5-star hotel and high school degree.
