Job Category: Administration : The coordinator - Regulatory Operations serves as a critical liaison in NMC Healthcare's regulatory compliance ecosystem, managing work permit and visa renewal processes while ensuring adherence to UAE employment regulations, ILOE requirements, and healthcare industry standards. This role requires comprehensive coordination between employees, Business Unit HR teams, Government Relations, and regulatory authorities, demanding meticulous attention to detail, strong communication skills, and expert knowledge of UAE employment visa regulations and healthcare compliance requirements. Responsibilities: Process Coordination & Management
Download, validate, and analyze work permit/visa reports from NMC Connect system
Generate and distribute quarterly expiry forecasts (Q1, Q2, Q3, Q4) to respective Business Units
Coordinate renewal decisions between BU HR/HRBPs, HODs, and employees
Maintain comprehensive tracking systems for all renewal processes and completion status
Employee Communication & Support
Conduct individual consultation calls with employees to explain renewal processes and requirements
Provide clear, comprehensive workflow explanations and documentation guidelines
Prepare and distribute detailed document checklists via email communications
Send timely follow-up reminders and escalate non-responsive cases to BU HR/HRBPs
Address employee concerns and queries throughout the renewal process
Documentation Management
Verify and process all employee renewal documentation packages
Coordinate document flow between employees, GR Team, and BU HR teams
Ensure contract accuracy and facilitate employee signature processes
Forward completed documentation to Government Relations Team for official processing
Maintain secure storage of all employee documentation in designated shared folders
System Administration & Updates
Update internal tracking systems with completion status and applicable remarks
Coordinate with GR Team for NMC Connect system updates post-renewal
Ensure data accuracy and maintain comprehensive process documentation
Support system integration between various departments and stakeholders
Compliance & Quality Assurance
Ensure strict adherence to NMC Healthcare employment policies and procedures
Maintain absolute confidentiality regarding employee compensation and personal details
Uphold data privacy standards throughout all process touchpoints
Coordinate with Rewards Team for contract amendments involving employment term changes
Facilitate Corporate HR Business Partner approvals for legal entity transitions
Monitor and facilitate ILOE compliance for all and work permit renewal procedures
Maintain compliance records for ILOE documentation and insurance coverage status
Qualifications: Education & Certifications
Bachelor's degree in human resources, Business Administration, or related field
Professional HR certification (SHRM, HRCI, or equivalent) preferred
UAE employment law certification or equivalent training highly preferred
Experience Requirements
Minimum 3-5 years of HR experience, preferably in UAE healthcare sector
Demonstrated experience with visa/work permit processes in UAE
Previous experience with HRIS systems and documentation management
Experience in multi-stakeholder coordination and process management
Technical Skills
Proficient in HRIS systems (NMC Connect experience advantageous)
Advanced Microsoft Office Suite skills (Excel, Word, Outlook)
Document management system proficiency
Data analysis and reporting capabilities
