Job Description



Objective
  • Provide direct support to the Managing Director and Operations Director
  • Provide excellent administrative support to the regional/local project team
  • Work collaboratively and effectively as part of a regional team
  • Ensure all corporate compliance tasks are scheduled and completed on time
  • Deliver focused business support as identified and required
Requirements
  • Experienced in supporting senior leadership personnel
  • Experience of providing a high quality and efficient administration service
  • Team player with ability to work autonomously
  • Ability to communicate at all levels with a positive, pro-active approach
  • Experience of working under pressure and meeting deadlines
  • Good knowledge of Microsoft Office suite of products (Outlook, Teams, Word, Excel and PowerPoint)
Responsibilities

Working as part of a regional admin team picking up requests/tasks from a regional inbox including:
  • Working with travel team to book travel and hotel accommodation including rail / flights / cars etc. Scheduling itineraries for senior personnel.
  • Support with obtaining travel visas and other requirements
  • Diary and correspondence management for senior personnel
  • Providing necessary support in human resourcing and managing the recruitment process.
  • Follow up and coordinates with human resources departments for team member acquisitions.
  • Work with travel team to book external venues and handling logistics including liaising across other businesses and with external suppliers
  • Ensuring all corporate compliance tasks are scheduled and completed on time \xe2\x80\x93 including chasing up mandatory training and timesheets
  • Arranging meetings - inviting attendees, booking rooms, catering and preparing/circulating document packs
  • Support with IT arrangements for new starters
  • Help coordinate / compile / format regular reports
  • Printing & binding documents / contracts
  • Support to Bid Team with document formatting, CV formatting, collating case studies
  • Ad-hoc administrative duties
  • Reporting of IT or FM issues
  • Ordering office stationery / PPE

  • Able to pre-empt actions required and act accordingly
  • Able to keep calm under pressure and when working to often demanding deadlines.
  • Flexibility to deal with changing priorities and tasks
  • Discretion when exposed to confidential information
  • Ability to pick up corporate systems quickly
  • Willingness to develop personally in role
Additional Information
  • Based in Dubai office or some working from home depending on Senior Leadership requirements.
  • Full time \xe2\x80\x93 45 hrs per week (open for discussion on flexibility of hours)
  • Some travel to KSA may be required
